Summary

Under the direction of the Director of Finance. The post holder will have specific responsibility to manage the team of administrators within the Finance Department, providing mentoring support and guidance to support continuous improvements across departments.

The successful post holder will be responsible performance management and allocating general duties for the administrative team. This will include: photocopying, scanning, printing, creating and archiving records, ordering stationery and any other general office duties as necessary. Additionally, to manage all incoming email, post, telephone calls, responding appropriately and in a timely manner. Lastly, managing departmental diaries including scheduling meetings, booking meeting rooms and arranging catering as required, assisting with the preparation and distribution of memos, letters, reports, presentations and any other correspondence as required.

The Office Manager will be responsibly for system development such as maintaining and creating office systems (data management and filing). Effectively developing ways of categorising and prioritising departmental enquiries alongside managing and monitoring the progress of them if needed. Keeping SharePoint Pages up to date with relevant information regarding the finance team. The Office Manager will be in charge of promoting, and recommending improvements to administrative practices. Lastly, procurement of any administrative solutions (new IT capabilities etc).

It is the duty of the Office Manager to support relevant governance structures, prepare and circulate agendas and papers, record and distribute accurate minutes from meetings. The Office Manager will be expected to provide personalised administrative support to the Director or leaders of departments as needed as well as liaising frequently with Trustees, Episcopal Vicars, COO and senior staff. Be able to channel urgent matters and queries to the appropriate persons in the absence of the Director of department and to lead on ad-hoc projects as needed too. This is complimented by being able to undertake tasks such as attend, support and contribute to inhouse and external training programmes to further individual development.

The Office Manager will be a representative of the Archdiocese and is expected to act in a professional and appropriate manner and actively promote the ethos of the Archdiocese of Liverpool.
