Skills & Experience:

Relevant Level 3 qualification on the Credit and Qualifications Framework for Wales.
Good knowledge of organisational and financial management systems.
Knowledge of relevant Risk Assessments, Method Statements, Safe Systems of Work and Health and Safety issues relating to the post.
Relevant office or business experience.
Experience in the use of IT software and database packages.
Experience in organising, coordinating and managing resources.
Experience of working in a customer focused environment.
Good customer service skills – ensuring customers needs and expectations are met.
Able to resolve operational problems and issues using their own initiative, referring only the most complex issues and situations to the Systems Operations Supervisor/Senior Planner/Foreman/Supervisor.



What's involved with this role: Support the Systems Operations Supervisor and Senior Planner by efficiently scheduling resources and coordinating work to ensure that responsive surveys, repairs, and larger-scale planned works are completed through the Job Management system. Your role will be critical in ensuring that service standards and customer appointment times are met, contributing to the smooth delivery of building maintenance and repairs services.

Key responsibilities:

Effectively organise and coordinate a team of trade staff, Surveyors and program of works via the dynamic scheduling system to meet customers’ expectations.
Provide high levels of customer care through the establishment of good working relations with clients and customers including customer satisfaction surveys and taking appropriate action to improve service delivery.
Manage mobile working teams workloads effectively to minimise lost time, improve operational performance and reduce unnecessary travelling, resulting in improved business efficiency.
Ensure jobs are completed right first time by ordering the correct materials, organising trade labour requirements effectively and arranging appointment times based on known availability of resources.
Manage change by incorporating new technology into organising and managing diaries such as utilising hand-held PDAs to communicate effectively with the mobile working team.
Support the service area by contributing towards the improvement of key performance indicators.
Re-arrange appointments with customers where necessary.
Encourage, facilitate and participate in the review of current processes for efficiencies and opportunities to improve the service delivered; and produce regular reports for the HRO Supervisor and the Homes Management Team on current performance and trends that may be affecting the business.
