Summary
Reception Care navigation ensuring the patient receives the highest level of care and signposting to the most appropriate clinical professional. Ensure efficiency of appointment system and monitor flow of patients into consulting and treatment rooms Ensure that patients without appointments but who need urgent consultation are seen in a logical and non-disruptive manner Explain practice arrangements and formal requirements to new patients and those seeking temporary registration, ensuring procedures are completed accurately Advise patients of relevant charges for private services, accept payment and issue receipts for same Respond to all queries and requests for assistance from patients and other visitors Processing repeat prescriptions in accordance with practice guidelines; accepting requests for repeat prescriptions, checking the fax and prescription box for repeat prescription requests and preparing for signing by Doctor Ensure reception and waiting areas are kept neat, tidy, and ready for incoming colleagues together with information regarding unresolved or urgent problems. Telephony Have working knowledge of telephone system, during and out of hours Handle telephone enquiries for appointments Operate the switchboard efficiently, ensuring all calls are diverted appropriately Accept, accurately record and distribute messages for doctors, nurses and other members of staff Enter requests for home visits onto computer system and where necessary refer to doctor Contact patients regarding results of tests and other relevant issues in accordance with practice guidelines Appointment system Ensure total familiarity with all appointment systems in effect, including regular and incidental variations Book appointments and recalls, ensuring sufficient information is recorded to retrieve medical record Maintaining and monitoring the practice appointment system; monitor effectiveness of the system and report any problems or variations Administration Have a thorough knowledge of all practice procedures Work in accordance of written protocols Processing and distributing the mail, ensuring it is dealt with efficiently and forwarded to the correct person Computer data entry, data allocation and collation; processing and recording information in accordance with practice procedures Scan post onto electronic medical records on a daily basis Enter Read coded information onto clinical database Fax and photocopy as requested File back records after session when required
