Crynodeb

• To provide comprehensive secretarial and administrative support to the CNWL
Recovery College and Recovery College Manager.
• To support the organisation and administration of events and college courses
planned by the CNWL Recovery College, including events off site.
• To provide administrative support for the communications, marketing and events
programme of the CNWL Recovery College.
• To promote, develop and embed the principles of recovery orientated practice
across the organization.

Communication and Events Administration:


1. To undertake marketing and communication tasks as allocated by the CNWL Recovery College Manager and Recovery College Admissions Office Coordinator.


2. To organise meetings, events, workshops and courses including room bookings, ordering of hospitality, facilities and equipment, checking arrangements, preparing materials, taking registration, solving organisational issues on the day and assisting in the recording and reporting of the events.


3. To work with the Recovery College Admissions Office Coordinator ensuring that the CNWL Recovery College’s Intranet and website pages are up-to-date.

Administrative
1. To provide efficient and professional administrative support to the CNWL Recovery College, this will include supporting the administration team with course registration, sending out of pre-course information and dealing with questions and queries both in person and other the telephone.


2. To act as the first point of contact for the service and handle telephone and email enquiries from external bodies, Trust staff, clinicians, service users and carers. The post holder is required to exercise judgment about how to handle such calls.

There will be an opportunity to work closely with the colleagues and stakeholders across CNWL to promote, develop and embed the principles of recovery-orientated practice across the organisation, as well as developing strong relationships with partner agencies and local communities.

Communication and Events Administration:

1. To undertake marketing and communication tasks as allocated by the CNWL Recovery College Manager and Recovery College Admissions Office Coordinator

2. To organise meetings, events, workshops and courses including room bookings, ordering of hospitality, facilities and equipment, checking arrangements, preparing materials, taking registration, solving organisational issues on the day and assisting in the recording and reporting of the events.

3. To work with the Recovery College Admissions Office Coordinator ensuring that the CNWL Recovery College’s Intranet and website pages are up-to-date.

4. To work with the Recovery College Admissions Office Coordinator to develop support materials such as presentations and packs for promotional purposes.

5. To ensure that all materials are produced in plain English and key community languages (where applicable), such as posters and leaflets, liaising with the Communications team as necessary.

6. To provide admin support for the production and distribution of the college prospectus, working closely with the CNWL Recovery College team and the Communication team to ensure that course listings and case studies are up-to-date.

7. To work with the Recovery College Admissions Office Coordinator and the Communication team to ensure consistent messaging, branding and communications standards across all CNWL Recovery College communications and marketing activity.

8. To communicate and liaise with a range of professionals within the Trust, including professional leads, managers, care coordinators, peer support workers, as well as Commissioners, external agencies and other appropriate stakeholders to deliver CNWL Recovery College courses/workshops.

9. To liaise with local, mainstream organisations in order to assist in offering admin support for jointly delivered courses/workshops and to improve opportunities for the social inclusion of mental health service users.

10. To actively encourage and support effective communication within the team and between the team and other services /organisations.

11. To support the Recovery College Manager in managing the CNWL Recovery College social media accounts

12. To undertake service promotion activities with colleagues.

13. To develop and maintain internal and external contact and distribution lists.

14. To be aware of recovery language with all students by modelling positive strengths based, non discriminatory, non-jargon, non-medicalised language in all areas of work.

Administrative

3. To prioritise own workload ensuring that relevant deadlines are met.

4. To rapidly analyse situations as they occur, making personal judgment about what level of senior management to escalate serious matters to.

5. To support the administration team in ensuring that all people undertaking courses at the CNWL Recovery College are accounted for either on systmone and or other monitoring systems.

6. To carry out a range of administrative tasks and be able to provide cover for other team members as and when required

7. To provide technically support on online workshops



Information



1. To assist theRecovery College Admissions Office Coordinatorin producing performance reports which are circulated both internally and externally.



2. To be responsible for maintaining information systems in order to produce information as required.



3. To assist theRecovery College Admissions Officer Coordinatorin preparing reports ensuring that all the necessary information is included and in the correct format.



4. To ensure filing systems are maintained to a high standard and with due recognition of the need for confidentiality and security.



Supervision, Appraisal, Training and Development



1. To undertake mandatory and statutory training as required by Trust policy.



a. To contribute and commit to undertaking an annual development review/appraisal.

b. To undertake personal development as identified in the Personal Development Plan (PDP).



2. To contribute to the local induction of new staff.



3. To contribute to activities which continue to build on a culture of shared learning and evidence based practice.



4. To support peer support and student placements as appropriate; ensuring a good learning environment is maintained.



5. Attend regular supervision with the manager and professional supervisor if required.



Other



The college operates on a term system and post holders will be expected, so far as is reasonably practical, to take their annual leave during the breaks between terms.
