Key Responsibilities

Major Events:

  • Assist in planning and delivering memorable large-scale events with thousands of participants.
  • Coordinate logistics with suppliers, contractors, and cross-functional teams.
  • Manage stock, materials, and key event-related resources.
  • Provide hands-on support during events to ensure everything runs smoothly.

Bespoke Challenges:

  • Handle participant registrations and inquiries, delivering exceptional customer service.
  • Coordinate travel, accommodation, and bespoke event packs for participants.
  • Support participants from start to finish, making their experience seamless and enjoyable.
  • Assist with event-day logistics, both in the UK and overseas.

Volunteer Management:

  • Recruit and coordinate hundreds of enthusiastic volunteers for major events.
  • Build and maintain strong relationships with new and returning volunteers.
  • Prepare volunteer materials, ensuring they're ready for both pre-event and on-the-day activities.

General Tasks:

  • Draft engaging communications for participants, volunteers, and stakeholders.
  • Maintain accurate records, manage databases, and assist with ad hoc administrative tasks.
  • Collaborate with the wider team to brainstorm and improve event processes.

What We're Looking For

Essential Skills & Experience:

  • Excellent communication skills, both written and verbal.
  • Strong organisational abilities with outstanding attention to detail.
  • A proactive, problem-solving mindset and a "can-do" attitude.
  • 1-2 years of experience in the events industry, including stock management.
  • Ability to manage processes and multitask effectively in a busy environment.

Desirable Skills & Experience:

  • Previous experience in the charity or non-profit sector.
  • Experience working as part of a high-performing events team.

  • Full-time role (37.5 hours per week) with flexible start times between 8 am and 10 am.
