Crynodeb
Gilberdyke Parish Council is seeking an enthusiastic and committed person to take on the role of Charity Administrator. This is an interesting and flexible role with a varying workload, and provides an opportunity to help manage and develop a valuable community asset.
This post is offered initially as a 20 hours per week contract, with flexibility as to the fulfilment of those hours. Some evening work will be required as part of the role. The successful applicant will have the opportunity to increase their contracted hours as their experience develops. Candidates with experience in marketing, events planning and management, and submitting funding applications may be offered increased hours upon commencement.
You will mainly work from home but you will be required to attend the Hall on a regular basis. You will be paid an allowance for working from home.
The War Memorial Hall hosts a wide variety of groups and events, from regular users who visit the Hall weekly, to one-off hirers who hold parties and other events at the Hall. The Charity Administrator will be a key individual in ensuring the smooth and effective running of the Charity. The role offers a great deal of flexibility in managing your time, and would suit a motivated and organised person used to working on their own initiative. The role involves some supervision of volunteers but no direct line management.
The principal accountabilities of the job
You will manage the operations of the Charity and the development and delivery of activities and facilities in line with the Charity’s objectives and strategic plan.
You will provide clerical and administrative support to the Charity Management Committee (CMC), who meet monthly, and the Council as the Sole Trustee, who meet annually (except for extraordinary meetings). Meetings are in the evening, usually commencing at 7:00 pm and concluding by 9:00 pm.
You will ensure that the governing document is complied with at all times and only activities that plan to achieve the charitable purposes are permitted in conjunction, where necessary, with the Charities Commission.
You will be responsible for planning and arranging meetings of the CMC and the Council as the Sole Trustee, including the construction of agendas, supporting papers to enable effective decisions and to draft minutes of such meetings.
You will manage budgets and prepare monthly accounts for the CMC and present annual accounts for the Council as the Sole Trustee for agreement ahead of submission to the Charity Commission.
You will have overall responsibility for the management of the site, including the Hall and the Playing Field, and be the main point of contact in the event of an emergency.
Ensure appropriate financial checks, procedures and policies are followed.
Make recommendations on financial matters, duties and responsibilities to the CMC and Council as the Sole Trustee.
Issue and receive invoices, ensuring prompt payment in and out, and manage cash, including floats for events.
Ensure that all licenses, insurances, utilities and other legal requirements are up-to-date, and to seek best value at renewal and from service providers, suppliers and contractors.
Arrange the annual external audit of accounts.
To identify funding opportunities, complete and submit funding requests, providing evidence to funding bodies regarding outcomes.
Maintain and developing positive relationships with funders, grant providers, sponsors and individuals.
Equipment and training provided
You will be provided with a mobile phone and a laptop computer.
A specific email address will be provided for you to conduct correspondence.
You will be supported with training as required, including on safeguarding, local government and charity administration. The Council will fund all relevant training and safeguarding requirements.
