Our estate provides accommodation for colleagues who support millions of daily customer interactions in Jobcentres and Health Assessment centres, back of house offices delivering frontline services and hub sites housing expert functions such as Policy, Finance, Digital and HR.

The DWP Estates function ensures the smooth and efficient operation of this network on a day-to-day basis. We manage a private sector supply chain that delivers essential services such as security guarding, maintenance, property and leasehold, construction, cleaning and facilities management. Many of these services are business critical and we cannot safely open our offices without them.

The Diary Manager will play a crucial role in providing day-to-day diary management for 2 x Deputy Directors (SCS1) helping ensure their key business activities and priorities are well coordinated.

The Diary Manager will work closely with the diary management and admin support teams who make up the Director’s Office supporting the SCS Estates Senior Leadership Team (SLT) and wider Estates Directorate.

Key accountabilities

  • Ownership of 2 x Deputy Director’s calendars, arranging meetings, travel, and accommodation. Keeping a forward look to identify diary conflicts, whilst also adjusting to accommodate urgent and important meetings.
  • Leading weekly Diary Reviews with SLT members.
  • High level mailbox management for SLT members.
  • Undertaking ad hoc tasks, as requested from SLT or the Senior Diary Manager.
  • Being accountable for the preparation of meetings including room bookings with functional equipment, and all associated domestics.
  • Ensuring meeting papers are received in a timely manner, and readily available to the SLT member and also cascading when required.
  • Keep up to date with our SLT immediate and long-term business priorities, feeding back key information to the Director’s Office colleagues.
  • A strong commitment to personal development and improvement – working with the team to proactively identify better ways of working and actively engaging in Director’s Office team meetings.
  • Work closely with other Business Support Teams in the Department and across Government.
  • Understand who your key stakeholders are and effectively build, develop and maintain positive working relationships with them.
  • Diary Management cover for other Estates SLT members, during periods of Team leave.
