Summary
What you'll be doing: Diary management for the Senior Executive Directors including arranging meetings, booking travel and accommodation as required. Prioritise and adjust diaries to accommodate urgent matters. Responsibility for the internal Executive Board meeting, the Investor Board meetings, Commercial reviews and Executive Strategic days as required. This will involve logistics, agendas, minutes and maintaining the action log. Will collate and create board packs for internal and external use; this will include writing updates, ensuring consistency and professionalism across the papers. A point of contact between the Chairman, Executive team and the Board of Directors. The Executive Assistant will minute take as required for the Senior Executive Directors. All minutes and actions to be distributed within 24 hours of the relevant meeting. Act as a point of contact between the Senior Executive Directors and internal / external stakeholders as required. Prepare presentations or documentation for meetings and projects. Handle sensitive information with the utmost confidentiality. Cover for other EA’s during absences. Assist with onboarding and coordination for new team members into the Executive teams. Establish and maintain effective, accurate and where appropriate, confidential filing systems, ensuring files and specific information can be easily retrieved. Work independently on all aspects of the role, managing own workload and exercising maximum autonomy and control whilst recognising when it is appropriate to seek advice or assistance. What you'll have: Previous experience within an Executive Assistant role, ideally within Healthcare although this is not essential. Highly developed and well-practised communication and interpersonal skills with a wide audience e.g. internal and external stakeholders. Excellent organisation skills, ability to multitask and prioritise workload. Must be able to meet deadlines in a fast paced, quickly changing environment. A good understanding of Microsoft Office packages – Excel, Word and Outlook – Skills test will be carried out at point of interview. Independent, self-motivated and organised. Excellent note taking skills with good attention to detail. Maintaining the highest standards of confidentiality. An enthusiastic individual who has a flexible approach.
