Summary

• This post is based within the Outpatients Department, the post holder will be expected to work cross site, with three days at Ealing Hospital and two days at NWP. This would be fluid to meet the needs of the service.
• The post-holder shall provide comprehensive administrative support to the Service Manager, Staff Development Manager and Senior Team Co-Ordinator within the Outpatient Department to ensure service objectives are achieved efficiently and effectively.
• A key function of this role will include the co-ordination of administrator and supervisor staff rotas, managing administrator and supervisor leave requests and absences and maintaining staffing levels, to minimise the impact of absences on the department and the Trust at large.
• Assist the Service Manager, Staff Development Manager and Senior Team Co-ordinator in the overseeing of admin staff and investigation of complaints.
• Mentor the Band 4 Supervisors and develop them for more senior roles within the Trust.
• Act up for the Senior Team Co-Ordinator / Staff Development Manager in their absence especially regarding staff review issues – both formal and informal.
• Providing leadership and expertise with information systems and participating in the full range of management activities within the department. This role is pivotal in supporting the effective functioning of the department
• The post holder must maintain a high degree of confidentiality in all aspects of service delivery and patient information in accordance with Trust policies and procedures and compliance with the Data Protection Act.
• The post holder must have excellent Excel skills, accurate and fast data input and above average keyboard and word processing skills to complete the rota each week.
• Liaise and build mutually beneficial relationships with services, nursing teams and other stakeholders.
• To act within defined departmental standard operating procedures
• Have a flexible and responsive approach to the varying demands of the post.
• To work in an efficient, effective, and timely manner and be adaptable to change.
• To follow agreed protocols and policies seeking advice where appropriate.
• To contribute to the care, maintenance, security and tidiness of the Departmental equipment and office accommodation and work in a safe manner in accordance with local and Trust Health and Safety policies.
• To demonstrate a positive attitude to the work of the Department and service users

• To support the Service Manager, Staff Development Manager and Senior Team Co-Ordinator in developing a responsive, patient focused service
• To facilitate improvements in quality of care using lessons learned from adverse incidents and patient complaints.
• To provide an effective, caring, high quality service within a pressurised environment
• To roster all staff within the team ensuring all services are adequately covered.
• To work with the management team to improve, develop and innovate admin processes.
