Summary
Work Location: Wellington Road, however working across all college campuses, as and when required
Job Purpose:
• To provide administrative support to the effective maintenance of learner examination registration and entry processes
• To provide administrative support to the effective achievement claim and certification processes
• To support College faculty staff with enrolment to ensure accuracy of learner exam registration / certification, and good student experience.
• To support College Management Team to collate, record and submit accurate data, through ongoing monitoring and review of the student records.
• To provide administrative support to the College using MS-Word, MS-Excel and general functions of College Enrolments system.
Key Responsibilities
1. To ensure that base documentation is produced and maintained in line with External Funding Body requirements
2. To review, maintain and improve examination administration systems of all qualifications
3. To be aware of awarding body regulations and to meet the strict deadlines as stipulated by the awarding bodies by planning individual activities
4. To liaise with Curriculum Managers and Curriculum staff to ensure the timely collection of examination and registrations data.
5. To be responsible for the submission of accurate and timely data to Awarding Bodies and to ensure once data has been submitted that accurate data is held by Awarding Bodies by updating student records as necessary
6. To be responsible for the accurate collection, collation and recording of Student Personal Learner Records (PLR)
7. To input and maintain accurate examination details on the EBS system ensuring validity and integrity of the data held.
8. To support in the planning and organisation of all externally set examinations, ensuring that the strict codes on security and regulations of examinations papers set by JCQ are adhered.
9. To support the Destination Coordinator with the collection and recording on EBS/OnTrack of student destination data
10. To respond to the needs of customers both internal and external promptly, politely and efficiently in writing or by phone
11. To develop a close working arrangement with the college learning Support Team. To receive and check access arrangement request in line with JCQ regulations, process appropriately any applications via awarding body systems. Record and monitor arrangements to ensure that they are timely and valid. Update appropriate systems used for recording and notifying staff of approved access arrangements.
12. To support the achievement collection process by collaborating with Curriculum and Quality Managers to collect timely and accurate data for submission to the awarding body
13. To build strong relationships with both internal and external customers enabling efficient support Curriculum and Quality Managers in the resolution of examination and achievement related queries and problems with awarding bodies.
14. To efficiently record accurate and timely achievement data on EBS.
15. To provide, as appropriate, support for the validation and internal / external audits of college data.
16. To ensure a clear audit trail for all transactions
17. Supporting other Funding and Compliance functions as appropriate
18. To work to achieve team and individual KPIs, reviewed and monitored at team and one to one meetings, and attend appropriate training
19. To attend careers and open day events
20. To contribute to the Self-Assessment process and Quality Improvement Plan
21. To participate in the Performance Management scheme
22. To undertake other duties and responsibilities commensurate with the post as determined by the Principal
