Purpose of Role
The Office Assistant will provide essential administrative and operational support to the Charity Manager, facilitating effective management of relief projects, fundraising initiatives, and community outreach. This role is crucial to ensure the smooth functioning of day-to-day operations and will involve handling sensitive information and coordinating with various stakeholders, volunteers, and donors.

Key Responsibilities

Administrative Support

Assist the Charity Manager in organizing schedules, meetings, and travel arrangements.
Handle office correspondence, including emails, phone calls, and mail.
Prepare and maintain records, reports, and databases for project tracking, donor information, and other critical files.
Coordination and Communication

Act as a point of contact between the Charity Manager, team members, and external partners.
Coordinate volunteer schedules and support onboarding processes.
Communicate with donors, beneficiaries, and partners, providing regular updates as directed by the Manager.
Project Assistance

Support the planning and execution of relief projects, including logistics, resource management, and team coordination.
Help prepare project documents, presentations, and reports for internal and external stakeholders.
Track project milestones, deadlines, and budgets and alert the Manager to any issues or updates.
Fundraising and Outreach Support

Assist in organizing fundraising events, campaigns, and online outreach efforts.
Manage donor lists, prepare thank-you letters, and maintain up-to-date donation records.
Research potential funding opportunities and support grant application processes.
Financial and Resource Management

Maintain basic financial records, including petty cash, invoices, and receipts, under the Manager’s guidance.
Ensure proper allocation and tracking of resources used in relief efforts, including supplies, donations, and volunteer hours.
General Office Maintenance

Ensure the office environment is organized, functional, and stocked with necessary supplies.
Oversee the maintenance of office equipment and arrange repairs as needed.
Qualifications and Skills

Proven experience in office administration, ideally within a charity or relief work environment.
Strong organizational skills and ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and project management software.
Ability to work independently and as part of a team in a fast-paced environment.
Sensitivity and understanding of issues related to humanitarian work and charity management.
[Preferred] Experience in basic financial tracking or record-keeping.
Working Conditions
This role may occasionally require travel to project sites or community events and flexibility in working hours to accommodate urgent relief needs.
