The Senior Governance Secretariat Officer will play a critical role in ensuring effective governance and decision-making within the NHS’s Federated Data Platform programme. This position involves planning and managing meetings, creating briefing packs, maintaining action logs, and liaising with stakeholders to drive progress between governance meetings.
• This is a hybrid role located in Waterloo, London, offering flexibility to work from home most days, with the expectation to attend the office for monthly collaboration meetings.
• Band 7, ranging from £46,148 to £52,809, dependent on experience.
• Full-time, permanent position (37.5 hours per week).
• Forward planning and preparation for all governance meetings, including creating briefing packs and chair briefings.
• Manage action logs and follow up on action points between meetings to ensure progress.
• Provide expert secretariat support, including minute-taking and distributing meeting outcomes.
• Liaise with internal and external stakeholders to ensure effective communication and governance processes.
• Support the development of governance strategies and maintain the Terms of Reference for key groups.
The role is within NHS England’s Data and Analytics Directorate, which is driving transformation to improve the use of data in health and care. You’ll be working with the Federated Data Platform, a system designed to integrate data across Trusts and Integrated Care Boards to improve patient care and operational efficiency. The FDP connects systems that don’t usually communicate, enhancing care coordination and data-driven decision-making.
The Governance Secretariat Officer will:
• Plan and organise governance meetings, ensuring all necessary materials, such as briefing packs, are prepared in advance.
• Manage action logs, ensuring follow-up and progress between meetings.
• Act as secretariat for meetings, recording minutes, and disseminating outcomes.
• Develop and maintain governance strategies, ensuring governance processes are adhered to.
• Work closely with internal and external stakeholders to support effective governance practices.
• Maintain accurate Terms of Reference for key governance groups.
Essential Skills & Experience:
• Significant experience in coordinating projects and managing governance processes.
• Proven ability to handle complex meetings and senior stakeholders.
• Strong organisational skills with the ability to manage multiple priorities and deadlines.
• Experience in minute-taking and maintaining detailed records.
• Excellent communication skills, engaging with diverse stakeholders
Desirable Experience:
• Experience in healthcare or the public sector, ideally within the NHS.
• Familiarity with governance practices in the public sector.
Qualifications:
• Educated to degree level in a relevant subject or with equivalent experience.
• Postgraduate qualifications in governance or project management are desirable.
