As Executive Assistant to the CIO you will be a pivotal player in the Private Office of the NHSE Chief Information Officer, providing essential support in the delivery of operational aspects of the Digital sub-Directorate. You will support the CIO in achieving successful delivery through a broad list of tasks that will differ from day to day, including managing regular business activities and overseeing the vital logistical functions of the office. The role involves regular engagement with the private offices of the most senior levels of government, and so quality stakeholder management skills will be core to your everyday delivery in the role.
The EA role requires you to deliver to exceptionally high standards, and at great pace. Attention to detail and a continuous improvement mindset is required.
This role may involve some national travel, accompanying the CIO on visits and speaking engagements, as well as attending staff events and workshops. The role will require office presence in London (and potentially other sites, notably Leeds) and may include working outside normal business hours. This is a full-time position.
Direct support to the NHSE Chief Information Officer:
• Manage the CIOs email in-box, assigning actions to other PO team members
• Maintain oversight of all of the CIOs current priorities, progressing delivery as needed
• Co-ordinate with Board secretariats to ensure CIO is sighted on minutes and actions required.
• Assist with preparation and commissioning of papers and slides for governance meetings including NHSE Board, Exec, and associated sub committees
• Ensure CIO remains fully aligned with all corporate activities and mandatory returns as required, for example regular updates to Declaration of Interests
• Support/Manage business processes and returns for the CIO including Oracle, ESR, Atamis
• Support meetings, including taking minutes / actions, collating papers and preparing agendas.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.

Comms, engagement and correspondence:
• Co-ordination of internal and external briefing, speaking engagements, events and information requests
• Arranging and supporting visits for the CIO
• Ensure quality and timely outgoing correspondence including drafting of letters and emails as directed by manager.
• Work with Comms to manage regular all staff calls, bulletins and announcements to ensure excellent engagement and concise, timely comms- including maintenance of Distribution lists.
Effective member of the Private Office team:
• Participate effectively in daily team conversations to remain engaged on latest business, and less frequent, more detailed team meetings
• You will be a supportive and collaborative team player who has EDI at the heart of all decisions made
• Offer support and advice to other offices and business support staff within TD, and in other ND private offices
