we are seeking a highly organized and detail-oriented Contract and Documents Assistant Manager to join our dynamic team. This role combines the responsibilities of managing contracts and overseeing document control within our design and build projects. The ideal candidate will ensure that all contractual obligations are met, documents are accurately maintained, and projects are delivered on time, within budget, and to the highest quality standards.
Key Responsibilities
• Contract Management:
◦ Review, and monitor contracts with project director, subcontractors, and suppliers.
◦ Ensure compliance with legal and regulatory requirements.
◦ Manage and mitigate risks associated with contracts.
◦ With appointed QS, handle contractual disputes and provide resolutions.
◦ Maintain records of all contract-related correspondence and documentation.
• Document Control:
◦ Develop and implement document control processes and procedures.
◦ Ensure all project documents are accurately filed, maintained, and updated.
◦ Coordinate with project teams to ensure timely submission and approval of documents.
◦ Manage document distribution and retrieval processes.
• Build Schedule Management:
◦ With appointed QS, develop and maintain project schedules, ensuring all milestones are met.
◦ Monitor project progress and adjust schedules as necessary.
◦ Coordinate with project managers and site teams to ensure timely completion of tasks.
• Budget Costing Monitoring:
◦ With appointed QS, prepare and manage project budgets, including cost estimates and financial forecasts.
◦ Monitor project expenditures and ensure costs are within budget.
◦ Identify and report any financial risks or discrepancies.
◦ Collaborate with finance teams to ensure accurate financial reporting.
• Quality Management:
◦ Develop and implement quality management plans.
◦ Conduct regular quality audits and inspections.
◦ Ensure all work meets the required quality standards and specifications.
◦ Address any quality issues promptly and effectively.
Qualifications
• Bachelor’s degree in Construction Management, Business Administration, or a related field.
• Proven experience in contract management and document control within the construction industry.
• Strong understanding of construction processes, legal requirements, and quality standards.
• Excellent organizational, communication, and negotiation skills.
• Proficiency in project management software and document control systems.
Build Schedule and Budget Costing Monitoring Plan
1. Build Schedule (with appointed QS):
◦ Planning Phase: Develop a detailed project plan outlining all tasks, milestones, and deadlines.
◦ Execution Phase: Monitor progress, adjust schedules as needed, and ensure timely completion of tasks.
◦ Completion Phase: Conduct final inspections and ensure all deliverables are met.
• Budget Costing Monitoring (with appointed QS):
◦ Initial Budgeting: Prepare detailed cost estimates and financial forecasts.
◦ Ongoing Monitoring: Track expenditures, compare actual costs to budget, and report any variances.
◦ Final Reporting: Provide a comprehensive financial report at project completion.
Quality Management Plan
• Quality Planning: Define quality standards and develop a quality management plan.
• Quality Assurance: Implement processes to ensure quality standards are met throughout the project.
• Quality Control: Conduct regular inspections and audits to verify compliance with quality standards.
• Continuous Improvement: Identify areas for improvement and implement corrective actions.
