Job Title: Receptionist

Location: CITB, Inchinnan Industrial Estate, Inchinnan, Renfrew.

Salary: £24,000

Working hours: The hours for the role are 0800-1545 Monday – Thursday and 0800- 1430 on a Friday

Place of Work: Onsite, CITB National Construction College, Scotland (Inchinnan)

Role purpose:

This role is the first point of contact for any visitors or contractors arriving at NCC Scotland. The post holder will provide a high level of customer service to ensure our visitors and customers receive the attention they need, whilst keeping a track of our visitors arriving and leaving the building.

This person will also manage multiple room bookings to accommodate our meetings and training delivery needs. They will be responsible for answering calls, dealing with enquiries, and directing calls appropriately. They will also support the Centre Manager with low value procurement and facilities administration tasks. They will work closely with the Support Services Admin team to ensure the college and learner support needs are met.

Key responsibilities and accountabilities:

Welcome visitors to the site, ensure visitors receive the site induction, and handed over to the relevant member of staff. Signing in and signing out records kept up to date and accurate
Mange shared mailboxes, answering phone calls, handling enquiries and direct calls appropriately.
Receive deliveries to site, sort and distribute incoming mail and process outgoing mail.
Co-ordinating with the Centre Manager on administration tasks and low value purchasing.
Assist and coordinate in the management of procuring stationary, PPE, training, and facilities materials. Purchasing in accordance with NCC Policies and Procedures e.g. checking invoices, raising purchase orders and GRN’s
Utilise CHIP to create delegate lists and the training register.
Provide an instant response in accordance with set procedures for all emergencies i.e. Fire Marshall, First Aid
Management of meeting rooms and hot desks; prepare reports on room usage for the estate team to ensure efficient allocation of resource. Manage room changes as required.
Assisting with registration of attendance of incoming learners to the centre by taking note and pass information on missing and late learners onto Welfare, Support Services and Programme Managers
Control and monitor access passes by creating, distributing, and record access control passes and lanyard to learners, visitors, and contractors.
Performing ad hoc administration duties
Knowledge and Experience:

Experience of working in a similar, customer facing role
Training and experience in Customer Service
Proficient use of Microsoft Office, including Excel and Word
Strong organisational skills
Strong communication skills
An understanding of facilities and procurement
Special Conditions/Other Requirements:

Able to work confidently without direct supervision
Able to work flexibly with notice
