Hours per week: 21, 10am 6pm

Role Length: This opening assignment is for 12 months

Two roles available – 1 x is for Willow Family Well Being Centre and the other one is to be admin for Under Fives Panel.



The purpose of the role is to provide administration and reception support to managers and front line staff across the early help service and, along with practitioners, providing a welcoming first point of contact at the FWCs.

Key Responsibilities:

Database maintenance – access and update relevant databases and generate reports for management information in a timely and efficient manner; organise and maintain records and documents using the appropriate council process/system. Ensuring all new families’ details and contacts are registered.
Overall responsibility for and management of administrative and clerical tasks relating to the Under 5’s Specialist Nursery Panel
Management of the Under 5’s Specialist Nursery Panel inbox and required responses to multi-agency colleagues
Maintaining the Under 5’s Specialist Nursery Panel spreadsheets including budget related information for sharing with finance colleagues as needed
Overall responsibility for planning, coordinating and recording decisions for the monthly Under 5’s Nursery Panel meetings
Be confident in a business support role incorporating finance processing, high priority administration, handling sensitive information and coordinating meetings as needed.
Determine effective and efficient administrative and office work practices, procedures and systems.
Database maintenance – access and update relevant databases and generate reports for management information in a timely and efficient manner.
Be responsible for taking electronic payments from service users and providers and raise PO’s and invoices as necessary.
Support all staff, partner agencies and all those delivering activities to collect attendance and record all contacts and provide this information to the FWC Support Officer.



Qualifications:

Educated to at least Level 3 or equivalent.
A relevant administrative/business qualification or equivalent experience.



Skills & Experience:

Minimum of 12 months recent experience in a similar role, or context and ideally within a public sector organisation.
Experience of providing front-line reception support in a busy environment.
Experience of providing support to management.
Experience of setting up databases and/or spread-sheets to collate and record statistical, financial, and/or other information.
Experience of working to dead lines with competing priorities in a busy environment.
Experience of managing premises.
Knowledge and experience of producing detailed reports from multiple information sources.
Ability to demonstrate a customer focused approach with a personal commitment to service improvement, equality, diversity and inclusion.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite, Mosaic).
