Catering & Operations Co-ordinator Caledonian Sleeper: Glasgow Permanent, Full Time, 37.5 hoursCompetitive plus benefits Caledonian Sleeper have an exciting opportunity for an enthusiastic and motivated Catering & Operations Co-ordinator to join the Guest Experience team in Glasgow. In the role of Catering & Operations Co-ordinator, you will report and assist to the Catering & Operations Manager and the broader Guest Experience Management team in enhancing our onboard services to consistently exceed our guests' expectations.
Main responsibilities of the role include:
- Develop and manage a feedback loop reporting tool for Team Leader reports to provide visibility of emerging issues to the GE Support team.
- Monitor and analyse data from Daily Transaction Reports (DTR), compiling weekly reports for the Catering & Operations Manager.
- Maintain a defects tracker to ensure the fleet's performance aligns with guest satisfaction objectives.
- Assist in supplier management meetings, documenting discussions and uploading files to the commercial share point site.
- Visit depots and lounges to assist with stock rotation under the guidance of Catering and Operations Managers.
- Oversee stock reporting at all stations and lounges, identifying and investigating any irregularities.
- Keep comprehensive financial records on sales, complimentary services, wastage, and stock levels, providing updates at the end of each financial period.
- Support any actions required through Voice of the Guest Initiatives (VOTG) period reporting.
- Support GE SMEs and GE Business Lead to ensure the content for Service Guidelines are kept up to date.
- Manage Purchase Order Administration for food and beverage acquisitions, ensuring alignment with Financial WBS coding for accuracy.
- Compile necessary information for period-end reports in compliance with grant agreements.
- Participate in service readiness calls and report issues to the GE Senior Management Team.
- Assist in creating Standard Operating Procedures (SOPs) and service documentation for the Catering & Operations and Guest Experience departments.
- Actively participate in the development and creation of content for new menus and allergen lists.
- Regularly review stock levels of menus and breakfast cards across all depots and outstations.
- Support GE project work within the GE function, with a particular focus on catering operations.
- Provide administrative support to the Catering & Operations Manager.
- Collaborate with the Catering & Operations Manager and Lounge Supervisors to monitor stock orders, record weekly costs, compile period-end stock levels, and present findings in report format for GE management review.
- Serve as a notetaker for HR, supplier, and internal meetings as needed.
- Conduct weekly reviews of laundry levels for all lounges, compile requirements, and coordinate deliveries with our depot teams.
Accountabilities may change as the business evolves and as such the post holder will be expected to be adaptable.
What you’ll need to do the role: Essential
- Level 1 & 2 Food Hygiene & HACCP qualification.
- Proficiency in document writing related to standards, policies, and procedures.
- Strong IT skills, including proficiency with Microsoft Applications and Power BI.
- Good office management and organisational skills.
- Excellent communication abilities.
- Flexibility and adaptability.
- Competency in data analysis.
- Experience in managing the back-office functions of an EPOS/POS system.
- Attention to detail.
- Ability to manage data output efficiently.
Preferred
- Experience in food and beverage operations.
- A proactive, "Can Do" attitude towards departmental tasks.
Additional / Special features of the role:
- Caledonian Sleeper is an overnight service, requiring nightshift work and travel across the UK network.
- Weekend and evening work is involved.
- Some travel necessitating overnight stays away from the home base to support the line manager.
- Hands-on service delivery roles with regular travel to ensure operational efficiency and oversight.
- Collaborative teamwork across all roles under GE, with cross-functional cooperation with Operations for Service Delivery Excellence.
