Job Purpose: To monitor operational performance standards within Hotel Services and provide a mechanism for the measurement of compliance against all legislative and published guidelines and healthcare standards. To collate credible and robust information on performance standards for the composition of reports. Key Duties: To measure and report on the quality of delivery of all in house and contracted facilities services activities within Worcestershire Acute Hospitals NHS Trust against National Standards and Trust Policies and Procedures. Support the Facilities management team with the maintenance of systems for the monitoring and auditing of information to enable the development of KPIs in all areas. To monitor performance against said KPIs and to provide the information needed to develop corrective action plans. To monitor such systems which are introduced to meet the Directorates commitment to quality standards. To support the senior management team with both short and long term projects and their development. To act as the day-to-day point of contact for issues relating to Estates and Facilities service standards. Resolving straightforward issues and refers matters with serious implications to the Facilities Quality & Compliance Manager. To provide the operational link with the senior management team: providing key information and advice on front line activities. To be responsible for the operation of monitoring systems and associated facilities procedures. To support the Facilities Quality & Compliance Manager with the purchasing, procurement and evaluation of bespoke audit software. To order, issue and maintain stock control of cleanliness and waste educational materials To be conversant with the specifications regarding the services that are being monitored, including but not limited to, the National Specifications for Cleanliness, Patient Led Assessments of the Care Environment, and current waste guidelines and legislation. Produce reports on the Estates and Facilities Services performance and where appropriate feed into action plans to improve, shape and inform the service making recommendations where necessary. To support first level feedback on audit conduct queries. General Duties: Utilising appropriate systems, carry out qualitative and quantitative monitoring performance of services in accordance with Service Level Agreements and external contracts. This will include domestic service, portering service, ward kitchen inspections, linen hire service, and minor hotel service contracts. To support in the contract management of the audit software provider. Complete scheduling for Monitoring Team, including creation of audits on Micad audit system. Ensure monitoring data is recorded, analysed and reviewed; and appropriate action plans made and auditing action taken. Produce reports as required, recognising that such information will be used at all levels of management up to the Trust Board. Report on all service providers success or otherwise in achieving required service standards. Contribute to the improvement of all services by service providers, which could be external contractors or NHS in-house teams. Progress action plans to completion of remedial work and other repair/development tasks. Develop and maintain good relationships with client, users, contractors, Facilities Services Management and Estates Management Assist staff within the Estates & Facilities Management Team in order that they may be more effective and efficient in the provision of quality services. Suggest quality improvements for all services in an advisory capacity and assist in their implementation. Assist in special projects as required. Organise own work schedule and adapt the schedule as required to meet commitments to others within the agreed timescales. Attend meetings as requested, taking minutes as appropriate. Be familiar with and abide by Trust policies and procedures. Be able to work flexibly during the normal working week and also at evenings and at weekends in accordance with the needs of the service.
