Job Title: Facilities and Estates Administrator
Location: HP18 Area
Working Hours: 9:00 AM - 5:30 PM
Job Description:Key Responsibilities:
- Reception Duties:
- Greet and assist visitors in a friendly and professional manner.
- Answer and direct phone calls efficiently.
- Manage incoming and outgoing mail.
- Maintain the reception area to ensure it is clean and welcoming.
- Facilities Management Support:
- Assist with the coordination of building maintenance and repairs.
- Monitor and restock office supplies.
- Support office moves and space planning activities.
- Liaise with external contractors and service providers.
- Assist with moving tables and chairs.
The Purpose: The role is at our site at Westcott Venture Park, based in our Incubation building. The role will encompass:
- Dealing with all internal and external visitors and telephone enquiries in a professional and timely manner.
- Work with other receptionists and wider Estates Team to ensure reception is always professional and responsive. Ensure seamless handover/knowledge between receptionists to ensure smooth operation of reception duties.
- Opening/closing of building and facilities.
- Dealing with all calls, enquiries, and visitors in a timely manner.
- Daily building condition and safety checks.
- Liaising with the cleaning staff and auditing standard of cleaning weekly.
- Administrative duties to support the Operations team, to include generating purchase orders, stationary, catering orders, the Barclaycard monthly statement return and meeting reservations.
- Assist with monitoring the Reception Desk inbox to action enquiries immediately & proactively.
- Helping always keep Catapult facilities clean / tidy / orderly, including tea and coffee point and kitchen within the buildings.
- Reporting and monitoring all building faults to the Facilities Manager.
- Assisting with setting up meeting rooms.
- Supporting occupants and Co-Space users in the building and act as first point of help for building occupiers
- Manage access for staff, occupiers and visitors.
- Manage visits of maintenance staff to Westcott buildings
- Setting up catering with tablecloths, food and clearing down.
- Act as signatory for all post / couriers & ensure all is distributed to all occupiers and staff.
- Accountable for the completion of standard or non-standard tasks within own area
- Create and develop working relationships with all colleagues and customers
- alarming and de-alarming of buildings
- Supports delivery of Health and Safety policy and standards, including training to become a first aider, fire warden and DSE. Manage any necessary hygiene measures in the building
- Assist the Facilities Manager a with ad-hoc support, including some administrative support.
