We are looking for an Administration Assistant to join our dedicated Community Stroke Team across the South of Nottinghamshire. This post will allow the successful applicant the opportunity to work within an integrated multi-disciplinary team who providing therapy to patients referred to the Community Stroke Rehabilitation services, including early support stroke rehabilitation. The multidisciplinary team includes Occupational Therapy, Speech and Language Therapy, Physiotherapy, Neuro-Psychology, Assistant Practitioners and Rehabilitation support workers. As a band 3 Administration Assistant, you will be expected to act as secretarial and administrative support including, but not limited to: To undertake administrative and secretarial work as required by the team. Providing cover and support, working as a team. To deal efficiently with all correspondence, monitoring telephone enquiries and providing information as appropriate. To type and compose letters, memoranda and other documentation as required. To source and prcis information as required. Using Microsoft Excel produce reports, graphs and charts as requested. Referral Management To convene and attend regular meetings as required, producing agendas and accurate minutes, making all necessary arrangements, including the collation of papers and agenda item. To service the monthly team meetings. Support the LCTM in the collation of monthly sickness action plan documentation for monitoring purposes To maintain an efficient filing system including brought forward items to ensure that deadlines for responses are met. To deal with enquiries/visitors. To organise events i.e. away days To liaise and deal with all external agencies, clients and carers. To order stock and non stock items as required. To timely input, update maintain information and resolve queries on the patient database. Responsible for ensuring that the necessary preparation for clinics is actioned and any follow ups are actioned afterwards. Undertake office duties , including filing, faxing, photocopying, dealing with incoming/outgoing mail. Dealing with all telephone calls and associated duties in an efficient and timely manner To undertake any other duties that would be a reasonable expectation of the role We therefore seek a compassionate, dynamic, innovative Administration Assistant to join us to ensure our patients continue to receive exceptional care and we continue to be recognised as a great place to work. The Community Stroke Team is split into three localities. The base of this role is within in the locality of Nottingham West at Stapleford Care Centre. The team work closely across the localities. You may be required to travel between bases if necessary, to support our evolving and developing service and supporting the team to deliver high quality integrated care.
