To provide comprehensive administrative support to the Three Ells Clinical Psychologist and the multidisciplinary team.
• Assist in the organisation of the Three Ells Clinical Psychologist/teams workload.
• Assist in the achievement of departmental objectives.
• Act as a point of contact for patients/carers, providing information on systems and processes within the hospital, including appointment and admission related information, to satisfactorily resolve queries. This includes establishing communication networks within the team and with other appropriate health care professionals.
• To provide direct patient support – telephone calls, organising meetings, typing letters and entering data onto the patient administrative system (PAS) including appointments and admission related information.
This role will require the utilisation of good administrative, secretarial, clerical, communication, and interpersonal skills.
Provide, gather, and receive routine information verbally, in writing or electronically to inform staff at all levels across the Trust.
Communicate with other secretarial staff and multi-disciplinary teams’ members within the Division. Medical Records, clinicians, NHS organisations outside the Trust including GP’s, CCG representatives, other external agencies, patients/families, the public.
To ensure information is recorded accurately in a timely fashion on the range of systems required – patient records, PAS, EDS, DPR information.
To ensure the areas meet data requirements – collection and entry of data, e.g., ethnic data, data activity recording.
Telephone contact with patients will frequently be of a sensitive nature and confidentiality must be always adhered to.
To coordinate and minute meetings and signpost patients effectively.
Good communication skills required e.g., diplomatic, negotiating, analytical and empathetic.
Good documentation and record keeping – clear concise, timely and accurate.
To contribute positively to the team maintaining positive working relationships always ensuring a positive behaviour code.
Support the administration of training including the preparation and distribution of course information, learning materials and logging information onto the electronic staff record.
An exciting opportunity has arisen within the Paediatric Health & Wellbeing Service for an Emotional Health & Wellbeing Administrator on a fixed term 12 month maternity cover contract. Secondment opportunity can also be explored.
