Overall, Purpose of the Role

The successful candidate will be responsible for producing and providing clients with quotations for fire and security systems, including CCTV, intruder alarms, access control, and fire alarm systems, all within the agreed Service Level Agreements (SLAs) and seeing the work through from point of order to job completion.

This role requires effective liaison with engineers, surveyors, and other stakeholders to ensure quotations are accurate and efficiently produced, and jobs are attended in a timely manner. Additionally, the candidate will manage daily emails, address queries, escalate issues when necessary, and handle various ad hoc tasks.



Key Accountabilities

-Produce quotations for CCTV, intruder alarms, access control, and fire alarm systems within the agreed SLAs.

-Manage daily emails, respond to queries, and escalate issues as needed.

-Liaise with engineers, surveyors, and the small works department to ensure accurate and efficient quotation production.

-Oversee and deliver all work-related orders for clients from the point of order to project completion and pre-billing stages.

-Convert sales enquiries to actual jobs upon client order approval.

-Place equipment, services, and labour purchase orders with suppliers, follow up on delivery lead times, and ensure proof of deliveries.

-Obtain supplier quotations and check stock availability to support planning and equipment orders.

-Support the line management team with project completion processes and closing all works for pre-invoice checks and billing.

-Complete and submit client payment application requests to support the invoice submission process.

-Perform any other ad-hoc administrative tasks as requested, supporting the Small Works Team Leader and Project Managers.

-Proactive team member with the ability to work independently and collaboratively.

-Self-motivated and confident in working with different teams and internal/external client.

-High level of attention to detail and accuracy.

-Commercial acumen

-Excellent verbal and written communication skills.

-Ability to complete tasks within clear deadlines.

-Strong organizational skills with the ability to coordinate multiple priorities and meet tight deadlines.

-Adaptable and flexible while working in a high-pressure environment.

-Proficient in Microsoft Office (Outlook, Excel, Word).

**Desirable**

-Experience with systems such as CASH 4 WINDOWS, Coupa, and Maximo.
