Kernowflex (Bank) Support Secretary

Zero Hours Contract

We are looking for people who can work at SMH - Hayle.

To work within the Orthopaedic speciality facilitating the smooth running of the patient journey by ensuring co-ordinated and streamlined administrative processes revolve around the patient and their individual needs. Provide secretarial and administrative support to consultants and other medical staff using a range of secretarial procedures in accordance with the processes laid out in the Orthopaedics Admin Handbook.

To contribute to the effective delivery of patient care, through knowledge of the waiting list practice and hospital systems.

To support the Department’s management team and medical secretaries with general admin duties, RTT validation and typing as directed by the Clinical Admin Lead(s).

Communication:
Receive and process telephone calls in accordance with Trust policy and in an appropriate manner. These may include the provision of non-clinical advice. Telephone calls will involve contact with patients, carers and health professionals, including staff from other departments with occasional distressing and emotional situations.

Patient Confidentiality:
Maintain patient confidentiality at all times in accordance with Trust policy and the legal framework such as the Data Protection Act.

Skills:
Utilise keyboard skills to RSA Stage III and RSA Stage II Audio Typing or equivalent to produce clinical and routine correspondence to health professionals, patients and their carers.

Informaton Technology/System Utilisation:
Regularly utilise Trust Information Systems such as Bluespier/Maxims for the creation of correspondence, reports and other documents. Develop a thorough knowledge and understanding of the Patient Administration System (PAS) and Case note Management.
Ensure patient information is maintained and updated on the appropriate patient information system.
Ensure patient pathways are validated and information updated on Radar comments.

Mandatory Training/Development Review:
Attend corporate induction, participate and complete ongoing mandatory training including attendance at mandatory training sessions as directed. Participate in the Performance Development Review process (appraisal) in line with National and Trust.

Undertake duties to support colleagues by providing secretarial support to the Department’s admin team, undertaking typing of clinics, providing assistance with waiting list management and RTT validation as directed by the Clinical Admin Leads.

To assist in the management of waiting list systems by prioritising, planning and organising admissions of elective orthopaedic patients in accordance with the Trusts Waiting List Policy, national waiting times and locally agreed targets.

To assist with re-arranging theatre lists at short notice to incorporate urgent and emergency cases as requested.

To generate admission letters, giving accurate, clear and concise information, ensuring additional information is included as necessary in the form of information leaflets or enclosures as directed by the Clinical Admin Lead.

To create and distribute operating lists, as appropriate, using Galaxy (theatre system), Bluespier and any other Trust system as required. Ensure notification of any appropriate additional information to relevant parties, as requested.

Take and process telephone calls in accordance with Trust policy and in an appropriate manner. Telephone calls will involve contact with patients, carers and health professionals. Ability to deal with verbal aggressions from patients.

Have a robust knowledge of the Trust’s Radar system and ensure patient comments are updated as per Trust guidelines.

To be able to practice good working knowledge and understanding of English vocabulary, spelling and grammar plus good knowledge and understanding of medical terminology and phases – specialising in orthopaedic terminology.

Be responsible for the maintenance of absolute patient confidentiality at all times in accordance with Trust Policy.

Maintain an orderly office, which can readily be taken over by colleagues/locums when necessary.
