Job Overview
-An opportunity to join an experienced, versatile team, delivering first class computer-based administration services to our world class Armed Forces personnel.
Position Overview
A bespoke role (30 hours per week - Mon to Thu), split between HMS Collingwood and HMS Sultan sites, providing computer-based administrative support to the site from the Information Hub (iHub). You will be working on the Ministry of Defence Network (MODNET) utilising up-to-date Microsoft Office 365 productivity and collaboration tools alongside more bespoke IT packages.
You will be the focal point for site managed laptop assets, including issue and receipt, basic fault finding and return/order broken laptops when required via the Service catalogue.
Main Duties
-Act as a focal point for MODNET administration services, promoting best practice, and delivering the contracted requirement to the appropriate quality standard.
-Facilitate the efficient and effective processing of corporate information and knowledge in accordance with MOD Information Management (IM) policy.
-Supporting records management activities including the transfer of records to the appropriate authority or their destruction/deletion as required by MOD policy.
-Manage MODNET user accounts, software and asset requests.
-Manage site laptops using Remedy Asset management Tool (RAMT) - both issue and receipt.
-Basic Fault finding of laptops and software repairs, returning faulty machines back to outlet.
-Advise on the administration of Team Site Collections.
-Management of Group Mailboxes (setting up, closing down, and managing any changes).
-Controlling unit wide announcements in regard to MODNET and IM policy, distributing the information in the most effective manner.
-Previous use of Office 365 and SharePoint is beneficial, but not essential.
-Ensure all activities are carried out in full compliance with current Health and Safety Regulations and the General Data Protection Regulations (GDPR).
-Undertake any additional tasks as determined by the Line Manager, including support/cover for other Administrators when required.
What we are looking for
-The successful candidate will be well-organised, precise, confident with credible communication skills readily able and willing to contribute at all levels. In addition, the individual will need to be versatile, intuitive, and professional with good judgement and absolute integrity and discretion. Pro-active and persuasive when required and responsive to changing needs of the business and demands of the customer, while remaining calm under pressure and self-motivated, the incumbent will be reliable and well presented, giving a positive image of MITIE company values. In addition, the following is needed.
-Proven track record of delivering quality administration and service with customer facing experience.
-Persuasive and credible verbal and written communicator with the ability to develop close working relationships.
-Sound administrative experience with good organisational and motivational skills and a high degree of integrity.
-IT literate with a good working knowledge of MS Office applications
-Experience of delivering an efficient reprographics service to the customer (desirable).
-Full understanding of the General Data Protection Regulations (GDPR) and the Date Protection Act (DPA).
-Good standard of education.
Additional Information
MOD security clearance and DBS Standard required. To meet national security vetting requirements, you will normally need to have been resident in the UK for at least 3 years to gain a Counter Terrorist Check, 5 years for Security Clearance and 10 years for Developed Vetting prior to the date of application. All Developed Vetted posts are required to be UK Nationals.
Proof of right to work in UK essential.
The Contract operates a 30-hour working week between the hours of 07.30 and 16.30 Mon to Thu only.
Required to wear approved company work wear.
