Mail Room Administrator
An opportunity to join an experienced, versatile team, delivering first-class services to our world-class Armed Forces personnel.
Position Overview
Based at MOD Abbey Wood, Bristol, working in a Mail Room environment, the post holder will be versatile, and customer focused. The role is 24 hours over 4 days per week (Monday to Thursday).
The successful candidate will have the professional capability to multi-task when and where needed, as required by the business. Training will be given where required.
Main Responsibilities
-Always ensure the physical security of mail in line with current regulations.
-Ensure the protection of personal information held within the Mail Room.
-Know and observe all necessary security precautions and procedures when handling mail, including recognition of, and response to, receipt of suspect mail.
-Control the receipt of parcels, packets and letters from Royal Mail and commercial couriers.
-Sort and distribute mail accurately within stipulated timescales, notifying individuals of items for collection, ensuring signatures of receipt are obtained when necessary.
-Deliver mail on foot around the site.
-Redirect mail as necessary.
-Collect, sort and bag outgoing mail for Royal Mail Postal Service and Defence Mail Centre.
-Keep the Mail Room area clean and tidy and, secure always.
-Operate and maintain the postal systems, keeping accurate records.
-Report any mail irregularities immediately.
-Ensure all activities are carried out in full compliance with current Health and Safety Regulations and the General Data Protection Regulations.
-Carry out reasonable tasks required of the Mitie Line Managers.
What we are looking for
A reliable, trustworthy, competent, and physically fit person with the ability to work independently and as part of a team. Confident, self-motivated, and able to use own initiative, highly responsive to company and customer requirements. Pro-active and consistent with the ability to adapt quickly to the different needs of the business and:
-Capability to multi-task when and where needed, as required by the business
-Working knowledge of Health and Safety requirements
-Flexible approach to accommodate changing requirements and priorities
-Good customer facing skills and the ability to develop close working relationships
-Basic IT literacy.
-Physically fit enough to lift and move mail, including sacks and parcels (Essential)
-Full/Cat B driving licence (desriable)
Additional Information
MOD security clearance and DBS Standard required. To meet national security vetting requirements, you will normally need to have been resident in the UK for at least 3 years to gain a Counter Terrorist Check, 5 years for Security Clearance and 10 years for Developed Vetting prior to the date of application. All Developed Vetted posts are required to be UK Nationals.
Proof of right to work in UK essential.
Required to wear approved company work wear.
