Summary
The following post has become available within KMPT for a dynamic, self-motivated, forward thinking Administration Coordinator. The position will be within the Early Intervention in Psychosis Service, based at Eastern & Coastal Area Offices, Littlebourne Road, Canterbury CT1 1AZ for 37 ½ hours per week.
The ideal candidate will be educated to A Level standard or equivalent, have good Maths and English skills and posses an NVQ level 3/RSA 3 or equivalent. Strong IT skills are also essential, including knowledge of Office packages such as Word and Excel. The candidate will need to have a keen eye for detail, be able to effectively monitor the workflow, ensure quality, adhere to deadlines and be adaptable to changing and challenging situations.
This post will coordinate the administration team as well as giving support to the Locality Managers. The successful candidate will need to ensure that the Clinical team have the necessary admin support in place to provide the best possible care for our clients. This post involves line management of the administration teams; prior experience of line management is desirable, but not essential.

Provide and receive complex information.
Responsible for communicating with individuals and team on regular basis including team briefing and one to one supervision. Consults staff on issues that affect them.
Post holders will liaise with their Administrators to ensure that excellent customer care is the standard in their transactions with customers/clients/other external stakeholders and internal colleagues
Identifies current requirements for information across service(s) and keeps abreast of changes eg requirements by Monitor, the Department of Health, CQC or commissioners and adapts information collection and processes to keep ahead of these;
To perform this role, post-holders will need to be fully familiar with the patient pathway within their service
Assesses BI reports and highlights to teams where corrective action is required to meet KPIs
RiO access rights similar to Administrator Level 2 but with additional access in relation to some aspects of Level 3 to include ability to access some clinical information if required for reporting purposes
Able to use more advanced Excel formula, Access or Publisher
May have input into e-rostering/MAPS system
May use CoreNet and IAPT national data system eg to report on treatment activity
Will be responsible for work production of a team of administrative staff
Participates in recruitment decisions and induction training of new staff
Undertakes regular supervision and appraisals
Manages absence and conducts return to work interviews, eRostering and MAPS
Authorised signatory for less than £1000 per month
May assist in the provision of in-house training in relation to specific skills eg associated with Intermediate – Advanced Excel
May undertake some research as appropriate to banding and contribute to projects or delegated projects and providing potential solutions to any problems raised
Chairing admin team meetings locally
