Summary

Summary of Duties:

The Events Officer is responsible for event project management, budget monitoring, securing local business sponsorship, ensuring safety compliance, reporting to committees and attending meetings. Additionally, the role involves organising and managing meetings, events and fundraising activities for the Mayor’s Charitable Trust.

Duties:

1. Organise, attend and manage a range of yearly council events throughout Keighley. Project manage each event, ensuring timely completion of all activities within the allocated budget and financial procedures. Adhere to health and safety policies and ensure all licencing requirements are followed.

2. Prepare individual detailed event outlines for all upcoming events, seeking approval from your line manager before presenting them at the Events & Community Development Committee meeting.
3. Obtain financial support and sponsorship from local businesses and organisations as part of Council/Mayoral fundraising events.

4. Be responsible for the successful delivery of event related objectives contained in Council development plans, such as, Keighley Vision 2023-2027.

5. Organise and manage all events and fundraising activities on behalf of the Mayor as agreed by the Events & Community Development Committee.

6. Liaise with the Mayor’s chosen charity/charities for the purpose of fundraising activities.

7. Create a budget plan for fundraising events for the Mayor's Charitable Trust.

8. Work closely with the Marketing & Communications Officer to conduct frequent public consultation exercises to gather valuable input for informed decision-making in the planning of events.
9. Work closely with the Marketing & Communications Officer to develop promotional campaigns for all Town Council events, Mayor’s fundraising activities and Civic events.

10. Work closely with the Community Development Officer and Marketing & Communications Officer to increase the Council presence at key external events such as Keighley Show, Keighley Carnival, Oakworth Gala, Riddlesden Gala, etc.

11. Work closely with the Community Development Officer and Marketing & Communications Officer to expand the opportunities as part of the Town Council annual “Play in Parks” summer events.

12. Project management of a regular outdoor market in the town centre.

13. In partnership with the Marketing & Communications Officer, establish a marketing campaign for a regular outdoor market in the town centre.

14. Work with the Marketing & Communications Officer to develop an income generating event programme for the Civic Centre.

15. Work with the Marketing & Communications Officer to shape media content for promotion on the Town Council Social Media accounts and website.

16. Support the development and implementation of the Keighley Vision.
17. Supervision of volunteers in liaison with the Community Development Officer.

18. Prepare and present detailed reports for consideration by the Events & Community Development Committee and where appropriate, other Committees and Full Council. Include pre-event plans, updates and budget spending reports.
19. Attend meetings of the Events & Community Development Committee and other Committees, including Full Council, as required.

20. Establish and implement metrics to measure the impact of Council events, providing regular reports to the Events & Community Development Committee on the success and areas for improvement.
21. Work within Council budgets adhering to appropriate financial procedures

22. Work in conjunction with other colleagues to ensure the efficient running of the Council office and its associated services.

23. Undertake training and development activities relevant to the post.

24. Any other duties as may be reasonably required by your line manager.

Other Duties

i) Respond to telephone and email queries from the public as well as visitors to the Civic Centre.

ii) All work is carried out to be compliant with the UK General Data Protection
Regulations (UKGDPR).

v) The post holder will be responsible for ensuring that emails and information are
only kept where absolutely necessary or to comply with legal requirements.

vi) The post holder will ensure that confidentiality is not breached.

vii) The post holder will ensure they stay impartial on all Keighley
Town Council matters.

Health and Safety

i) The post holder will work to meet the requirements of the Health and Safety at
Work Act 1974, subsequent statute and in line with Keighley Town Council’s
Health and Safety Policy.

ii) The post holder shall be responsible for their own conduct and be aware that they
must not do anything that could cause accidents or endanger the lives of others.
