Summary


The administrator will be responsible for providing the Department with administrative and other non-nursing support, to enable the efficient and appropriate use of resources and staffing, to ensure the smooth running of the Maternity Department.
• Booking appointments for clinics
• Entering activity data on PAS and BadgerNet
• Admit, discharge and transfer women on PAS
• Registering new women on PAS
• Any other clerical task that is required for the smooth running of the department

In the summer of 2020, the Trust launched its ambitious ‘Building for our Future’ (BFF) programme. This once in a lifetime programme aims to redevelop and expand our hospitals at Eastbourne, Hastings and Bexhill, transforming the environment in which we provide care for generations to come.



1. Admit, discharge and transfer of women on PAS/OASIS, registering new women as necessary and inputting EDD. Printing labels for all women. Filing or sending on, all results etc for post-natal and ante natal women. Continual updating of PAS/OASIS bed states.
2. Checking correct discharge addresses for all clients.
3. Booking appointments for clinics.
4. Photocopying of documents required to support maternity department.
5. Binding and Laminating.
6. Ordering of non-stock items.
7. Checking communication e-mails & distributing as required.
8. Ensure that any alterations of address, next of kin, GP’s etc are changed on PAS/OASIS.
9. Entering activity data on PAS.
10. Obtain notes and x-rays for inpatients and ward attenders as required and locate results from midwives and secretaries as requested.
11. Tidy and file case notes and prepare for Clinical Coding when appropriate. Send fax and GP discharge letters and results as appropriate.
12. Liaison with Hospital/Community Midwives and Midwifery Matrons.
13. Participate in ordering stationery and other equipment as required, to ensure adequate supplies.

14. Sorting and filing all returned mother and baby notes from the Community and returning notes back to Medical Records as soon as they are complete. Ensuring all results are filed.
15. Community liaison daily to ensure that all visits are recorded for the community midwives, transfers to other hospitals are notified and messages passed to the relevant staff.
16. Maintaining a record of all Neonatal screening tests collected and cross checking with birth register to ensure all babies have been offered screening. Notifying Community Midwife if repeat is required.
17. Distribution of G.P. referral form/letters to all areas, (after input of E.D.D). Faxing test results/information to GP’s or Social Services etc.
18.To maintain a daily register of on-call community midwives/community cover and call-outs.
19.To liaise with the community midwives in the event of unplanned absence, to provide adequate cover for community based antenatal clinics/ night on-call. To inform line matron where absence cannot be covered.
20. Any other clerical task that is required for the smooth running of the department.
