A vacancy has arisen for an administrator post in the Physiotherapy Department at Hillingdon Hospital. The work includes reception duties and general administration work, including substantial data entry of various kinds.
The post-holder would be joining a friendly team of physiotherapists, assistants and other administrative staff, and would be engaging with patients, carers, the general public and other hospital departments and staff, both face to face, on the telephone and via email.
To be responsible for delegated administrative work to ensure the provision of an efficient customer service delivery.
To provide a full range of clerical, administrative and reception duties to support a large team of professionals.
To act as administrative support to Therapy Manager and therapy staff as required.
The Hillingdon Hospitals NHS Foundation Trust is the only acute Hospital in the London Borough of Hillingdon and offers a wide range of services including accident and emergency, inpatient care, day surgery, outpatient clinics and maternity services. The Trust’s services at Mount Vernon Hospital include routine day surgery, delivered at a modern treatment centre, a minor injuries unit and outpatient clinics.

Main Tasks and Resposibilities
To be a first point of contact for patients, general public, staff and other professionals contacting the therapy departments.
To assist as appropriate in carrying out the initial triage of patients and referrals into the acute / chronic waiting lists, or appropriate other pathways, advising the patients accordingly.
To monitor and manage referrals received by the NHS electronic referral system (eRS).
To ensure clinicians’ appointments are utilised to maximum efficiency by monitoring and filling the electronic diaries, reporting any problems to the manager.
To be responsible for all data entry on the patient administration system (PAS / Cerner) to ensure outpatient physiotherapy activity is recorded and retrievable, to enable audits to be carried out, and to collate and present statistical information as required.
To deal with initial complaints from patients regarding the waiting list asking for assistance from the manager if required.
To meet and greet patients, book, cancel, reschedule appointments for patients, file and retrieve patient notes and obtain x-rays as required
To appropriately track referrals into the MSK Triage / Treatment Services and log the on-going pathway/management for audit purposes as required.
To manage own time and constantly readjust plans to prioritise work responsibilities.
To deal with all telephone calls, voicemail, emails or any other enquires / messages using problem solving, analytical and judgement skills to ensure best course of action is achieved. Protect managers / clinicians from unnecessary interruptions as much as possible but recognising own limitations and seek help as required.
To organise / book transport and interpreters for patients as required.
To operate required office equipment (PC/ printer / photocopier / scanner / telephone system)
