Summary


The postholder will lead and develop a responsive administrative team, ensuring effective and efficient administration support to the Inpatient and Outpatient Therapy Teams.



To work using independent judgement within procedural guidelines to provide comprehensive administrative and secretarial support to the Therapy Teams.



The postholder will be responsible for day to day management of the administration team. Duties will include managing e-Roster, appraisals, performance management, sickness monitoring, payroll, and recruitment.



To assist the therapists in certain delegated clinical therapy duties and in delivery of groups.



The postholder will take the lead in the production of the therapies team inputting, collation of statistics and production of the excel reports.



To cover all general office duties as delegated including photocopying, production of rotas, answering the phone and acting as a contact point within the team.



Establish communication networks within other departments and appropriate health care professionals organising meetings, taking minutes.



Act as a point of contact for providing information on systems and processes to satisfactorily resolve queries, including diaries. Overseeing and co-ordinating the operational activities of the Outpatient Therapy Department.

Day to day management of the Administrator and Therapy Assistant Team including: annual leave management; reviewing work performance and progress; absence management; appraisals; recruitment; ensuring that appropriate training is delivered to admin staff; co-ordinate the distribution and prioritisation of work amongst the team; in line with standard operating procedures, set up clinic templates and support maintenance of waiting lists . Write standard operating procedures and implement secretarial and administrative policies within the department/division; follow all relevant Trust policies and adhere to department guidelines/standard operating procedures at all times; communicate considerately and politely with patients/carers and staff in the exchange of verbal and written information. Communicate with external Trusts and other departments within the Trust. Deal with telephone and face-to-face enquiries efficiently and with understanding, taking action as appropriate.
