Key Functions To be able to work accurately and efficiently under pressure and as part of the team To type efficiently and accurately all business and referral letters, report forms and other documents as required To process patient referrals, including 2 Week Waits, Urgent and routine referrals accurately and in a timely manner according to protocol. Circulate agendas and take minutes of meetings as required. To carry out any audits as part of the practice audit program as necessary To answer the telephone in a professional manner and deal appropriately with the call, taking messages where relevant Liaise with hospital and community departments regarding patient care and appointments, dealing with correspondence and general queries from patients regarding their referrals or queries Involvement in ensuring safeguarding reports are completed by the doctor and returned in an efficient and timely manner Responsibility for processing all private reports and liaising with patients and private companies to ensure they are ready to send over to the doctor. Once returned, the post holder will be responsible for finalising the report and getting it ready to send off. Also providing support with the invoicing of any private work. Acting as Secretary to the GP Partners as required Support the team members with responsibility for the GP / Nurse Appointment system, liaising with the clinicians as appropriate and keeping spreadsheets updated. Streamlining work where possible Supporting other team members in the managing and booking of locums and obtaining the required paperwork To use own judgement, resourcefulness, common sense and local knowledge to respond to the needs of the job and patient or clinicians requests To do secretarial work for the GP team including GPRs and students as required To maintain all protocols relevant to the post To undertake training as appropriate To attend practice meetings as appropriate General office duties within the Clinical Support Team as appropriate Security - maintain the security of the premises, keys, fobs, computers, other equipment and property Accidents & Emergencies - report accidents and incidents on surgery premises to the Clinical Support Team Manager or Practice Manager, ensuring appropriate Incident Forms are completed by the relevant staff. Report any failures or procedures not followed correctly
