Job Responsibilities Opening up/locking up of practice premises and maintaining security in accordance with practice protocols To establish and maintain the filing and administrative systems so that written or computer information is easily accessible and secure To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner Scan patient-related documents onto their medical record using read codes as agreed by the clinical team Forward the document to the doctor or nurse who initiated the referral or who is most appropriate to receive the information Ensure incoming letters are scanned daily onto the patient record Scan all internal paper documents on to the relevant patients record and then store the documents in line with surgery procedures To maintain the computer clinic system in an accurate and secure manner To assist with the gathering of statistics and information when required Sort and date stamp all incoming patient-related mail Identify relevant clinical information contained in patient correspondence Identify relevant clinical information contained in patient correspondence Code or free text the clinical information on to the patient record Deal with queries relating to coding Receiving patients, consulting with members of practice team Deal with all general enquiries, explain procedures and make new and follow-up appointments. Register new patients, temporary residents and any requiring immediate and necessary treatment, carefully checking all details for accuracy and enter on computer registration link Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. Deal with home visit requests, carefully noting all details Action repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, in line with Practice protocol Handing completed repeat prescriptions to patient and checking names and address Take action on clinicians requests for further information/patient contact information etc. (including computerised Practice notes), ensuring completion of all associated paperwork Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers Filing and retrieving paperwork Ordering and monitoring of stationery and other supplies Keeping the practice, notice boards, leaflet etc. tidy and presentable Cover sickness/annual leave and work reasonable overtime when required Complete other daily/ weekly and monthly core tasks to support to smooth running of the reception area. Investor in Carers Lead to administer the Practices responsibilities under the scheme Perform any other duties as necessitated by the needs of the Practice Undertake statutory and mandatory training as required
