The overall aim of this role is to support the delivery of the Digital Programme.
The Programme Management Office provides management and support to the Digital Services directorate’s programme and its projects, providing professional management-related advice and guidance to the directorate and the Trust. Digital Services has adopted ‘Managing Successful Programmes’ (MSP) and ‘Projects in Controlled Environments’ (PRINCE2) as its methodologies for the delivery of work programmes and projects.
This post will focus on supporting the delivery of the Digital Programme, which incorporates a number of projects including the replacement of the current Electronic Patient Record Solution, introduction of
a new electronic prescribing solution and the replacement of the Pathology LIMS system. The post holder’s primary duties will be to provide project support and administrative duties to the Digital Services Programme Office including the Programme Managers and the rest of the programme team.
To act as the first point of contact for enquiries from customers, maintain multiple project libraries, compile project milestone reviews, highlight reports and maintain project plans and project databases. In addition, the post holder will provide administrative support including minute taking. A competent standard of written/typed English including correct use of grammar is essential.
1. Provide administrative support to the Digital Services Programme team
2. Act as the first point of contact for the project enquiries from customers
3. Maintain multiple project libraries, compile project milestone reviews, highlight reports and maintain project plans and project databases
4. Communicate routine project information via multiple formats
5. Provide co-ordination between the Programme/Project teams, stakeholders and suppliers, in accordance with the programme/project Stakeholder/Communication Strategies and Plans
6. Arrange and attend meetings including taking and producing minutes, notes and action plans for approval by the Programme lead/Integration and Benefits Leads, taking follow up action as appropriate
7. Maintain Programme/Project plans and track progress against the plans, liaising with other participants and monitoring the completion of tasks and the delivery of products as specified in work packages
8. Maintain Programme/Project registers including Risks, Issues, Actions and Decisions
9. Support the Project team by collating, analysing and presenting performance and financial information relating to the programme of work
10. Support the project team in the preparation, circulation and updating of management and quality documents, communications products such as PowerPoint presentations and website content.
