There are two roles available in the Knowledge and Information Management (KIM) team. In either role, you will be providing tailored guidance and expert support to colleagues. You’ll engage with all levels of the business to support them to comply with relevant legislation and policies, as well as researching, writing, reviewing and maintaining guidance, communications, training and policy documents.
Working directly within your team, and more broadly within the Data & Information department, you’ll identify and implement innovative ways to improve information management processes.
Building relationships with professional networks and stakeholders, both internally and externally, you’ll work to deliver sustainable and efficient outcomes for the organisation, supporting our work to make the environment a better place.
The Records Management adviser will:
• develop policies and processes for compliant management of records
• advise staff on the lifecycle management of records via retention schedules and appraisal
• prepare and catalogue records for transfer to record offices and archives
The Data Protection adviser will:
• manage requests from individuals exercising their data protection rights
• investigate security incidents involving personal data, and advise on mitigating actions
• advise on data protection compliance and risks
• influence teams to consider data protection by design and default
Responding to incidents is a central part of what we do. You will be asked to have an incident role and make yourself available to respond to incidents or provide business continuity support during an incident. This may attract an additional payment and full training will be available to support you with your incident role.
The team
The Knowledge and Information Management (KIM) team is part of the Data and Information department within the Strategy, Transformation and Assurance Directorate. We are a friendly and supportive team, dispersed across the country.
We are made up of the Knowledge Management, Records Management and Data Protection teams, managed separately but working closely. Together we set the policy and direction to support the organisation to manage information effectively, efficiently, and sustainably.
Experience/skills required
It is essential that you can demonstrate your:
• focus on quality and innovation
• excellent communication and technical coaching skills
• ability to build relationships with a variety of stakeholders and deliver results through others to get the best outcome
• strong technical ability, in areas such as project management, customer service and influencing
• aptitude for finding creative and successful solutions to complex issues
• commitment to teamwork and continuous improvement
• attention to detail and ability to work at pace
The following skills and experience are desirable:
• records management, data protection, or other information-related training or qualifications
• experience in an information management, governance or compliance role
• managing a busy workload with competing and changing priorities
• working with risk and uncertainty
• using SharePoint as a working environment
Working towards a specific industry qualification may be required as part of the role.
