Parc Canol group practice Job description JOB TITLE: Receptionist REPORTS TO: Practice manager Job summary: Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone Job responsibilities: Reception Ensure that an effective and efficient reception service is provided to patients and all other visitors to the practice Deal with all general enquiries, explain practice procedures Book appointments, ensuring that the practices policy is adhered to as far as possible and that patients are signposted appropriately in accordance with the practices signposting guidelines Personal judgment should be used in cases which do not fit within the practices policy and where discretion can be used Explain registration procedures to new patients and patients seeking temporary treatment and ensure required forms are completed accurately Handle incoming and outgoing telephone calls, including diverting calls, taking messages ensuring accuracy and prompt delivery of messages Process house call requests ensuring required information is recorded and any requests falling within urgent guidelines are passed to the on-call doctor Deal with clinicians requests to contact patients and obtain further information Document actions taken in the patients clinical record to ensure that there is a full record of administrative actions Inform patients of charges for private work and accept payment and issues receipts Prepare clinical rooms for surgery sessions as required Deal with prescription requests and processing as required Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations so that the surgery is ready for patients When last to leave at the end of the day, ensure that the building is closed down and secured Assist in maintaining a tidy and clean working environment ensuring that workspaces are kept tidy and free of paper, that the kitchen areas are kept clean and tidy, washing up is done and that the clinical rooms and patient waiting areas are kept clean and tidy Assist in ensuring that practice notice boards are kept up to date and tidy Cover colleagues holiday and sickness absence as required Make refreshments for doctors Deal with faxes and mail as required Carry out administrative work as requested e.g. contacting patients for regular chronic disease reviewsFlexibility: The job description is intended to provide a broad outline of the main role responsibilities. The post holder will need to be flexible to accommodate development of the role and to undertake other appropriate tasks as requested. Confidentiality: Under the Data Protection Act 1998 the post holder must maintain the confidentiality of information concerning patients and staff. The work is of a confidential nature and information gained must not be communicated to other persons except in the course of duty. Unauthorised disclosure of confidential information will result in disciplinary action and may lead to the post holders dismissal. Health & safety: The post holder must be aware of the responsibilities placed on him / her by the Health and Safety at Work Act (1974) in order to adhere to the practices health and safety policy and procedures and to ensure the maintenance of a safe environment for patients, visitors and staff.
