Applications are invited to join our Temporary Workforce Team based at Whiston Hospital.

The Temporary Workforce Team provides a comprehensive and effective temporary workforce service to the Trust via both our own internal bank and variety of agencies. The successful candidate will join our growing team supporting the organisation to provide efficient and timely invoicing to our partner agencies.

If you are an experienced administrator with a keen eye for detail and an efficient approach to workload then this could be the role for you.

Our service is fast paced and in high demand, so an ability to work flexibly and adapt your daily priorities swiftly will be an advantage.

As a key contact for agencies working in partnership with us you willprovide a professional, comprehensive, and efficient service for the processing of temporary workforce invoices for the Trust.

You willregularly be in contact with these agencies and their finance departments so a confidence in your ability to communicate both verbally and in writing across administrative teams will be essential.

The successful candidate will be expected to use their own initiative to support with swift payment and dealing with agency invoice queries, which will support the wider Temporary Workforce Team in meeting the Trust deadlines for agency invoice payments.

HR Service Delivery
• Ensure all required paperwork and authorisation is in place for the processing of temporary workforce invoices in a timely efficient manner.
• Ensure all IT systems are utilised and maintained regarding the recording and processing of temporary workforce shifts including SBS, BankStaff, HealthRoster and Patchwork.
• Ensure that the correct rate cards are utilised for invoices to be correctly paid.
• Ensure any invoicing issues highlighted are correctly escalated to the relevant agency or service/department and that a resolution is sought promptly.
• Escalate any delays or issues with the processing of invoices to the Temporary Workforce Team Leader and Temporary Workforce Manager where appropriate.
• Ensure that your own workload is managed and planned in accordance with department key performance indicator schedules and deadlines.
• Provide support to agencies where appropriate when they have queries with invoices.

Service Improvement & Changes
• To contribute to a culture of continuous improvement and development for both the service and the team.

Communications and Staff Involvement
• Proactively seek feedback regarding the service from both managers and temporary workforce.
• Build relationships with a variety of stakeholders and customers within the HR Department and wider Trust.

Teamwork and Development
• Develop own skills and knowledge.

Administrative Responsibilities
• To work on own initiative with supervision, prioritising workload, initiating action and resolving problems as necessary.
• Ensure all invoicing enquiries to the department are dealt with in an efficient, effective and courteous manner.
• To process all temporary workforce invoices.
• Responsible for cleansing and maintaining IT systems following the relevant SOP.
• Ensuring accurate and timely input of all data to meet invoice submission deadlines

Teaching and Training Responsibilities
• Participate in appropriate audit, quality assurance programmes and research as directed.
• Ensure that any Trust policy or standard operating procedure that relates to temporary workforce processing of invoices is followed and where there are areas for improvement to be raised for inclusion / change.

Professional Responsibilities
• To adhere to the rules and procedures in place regarding temporary workforce.
• To provide a professional, courteous and efficient invoice processing service to Trust departments and the temporary workers.
