Responsible for the validation, production of complex data and upload to a range of specialist systems unique to Education and Training relating to ILR registration & accounts in addition to generalised administration this includes task specific allocation. Responsible for the maintenance of staff development databases both internally & externally this includes direct links to external agencies including ESFA, Ofsted and regulated awarding bodies interpretation of data to facilitate professional dialogue with the named external agencies. Responsible for maintenance of electronic clinical and non-clinical training records including Filestore and ESR. Assist the day-to-day administration for the Resource and Planning Manager for student follow up training to include in services and portfolio submission bookings and liaising with hub management and administration. Ensure quality assurance of the OLM system, providing statistical figures for reports. Responsible for daily validation and interpretation of data to a range of Power App including interpretation of data for upload to appropriate systems. Responsible for the recording of enquires and bookings for the National Academy, ensuring that quality management procedures and all appropriate paperwork are completed for all bookings. Responsible for the raising of invoices and orders for use of facilities and/or work done by the Training Department. Responsible for data submissions relating to training records for all WMAS staff and project management. Responsible for ensuring that all Trust staff training records are kept up to date. Liaison with both internal customers, stakeholders and external organisations regarding the use of the Training Centre providing suitable details to enable the appropriate charges to be raised. Ensures that all course syllabus details and materials are available as and when necessary. Assists in the recruitment process. Ensures the timely submission of necessary reports including upward reporting to line management for reports for department and board meetings. Responsible for the diary management of all Senior Managers. Attending meetings when required. Responsible for the daily compliance of specialised system database and recording. Assists with the booking of catering arrangements for daily student and external/Internal customers. Facilitates Meetings / Visitors for the Academy Management. Acts as a point of contact for Training Management. Complies internal and external account records for the Education and Professional Development Centre and provides collation and communication to the Head of Education and Training and the Finance Department. Ensures that all administrative tasks are completed efficiently and on time to meet the Trusts quality procedures, needs of the Centre and the customers it serves. Ensures that all in coming post both internal and external is managed in accordance with Trust policies. Responsible for dealing with all routine correspondence on his/her own initiative. Works in accordance with the documented procedures necessary to ensure the Trusts continuing compliance with the requirements of the Quality Management Procedure. Plays an active part in meetings as a member of the admin team at the National Training Academy. In the absence all other members of the Management Team act on their initiative with regards to ensuring the smooth day to day running of the Training centre. Ensures security of the National Academy
