Job objectives and responsibilities

· X To ensure the security and safety of the client team staff, contractors, working colleagues;

· To protect the assets of the client by following recognised best practice techniques/procedures

· To ensure the security and safety of the site

· To effectively organise and manage all security team workloads as required without compromising quality of service provision

· To respond to emergencies and assist with the evacuation and searching of the buildings by following all requirements of the site Emergency Response procedures.





Main duties

-Step up and into Managers role as first point of contact for the FM team in the event the Security Manager is on annual holiday or off sick. This would mean coming off from your shift pattern and into Mon - Fri day shift role for the duration.

-In the absence of the Security Manager you will be responsible for managing the other Supervisors as well as the rest of the security team.

-To support the Security Manager and assist with admin tasks such as forward rostering and dealing with SIA license renewals etc.

-Assist Security Manager with the updating of AI's and RA's.

-Assist Security Manager with investigations and disciplinaries.

-Assist the Security Manager with anything he decides to task you with.

-Take on and manage any task or project the Security Manager hands over to you.

-Ensure an adequate handover is completed with outgoing and oncoming team members.

-Ensure Security Officers and controllers book on duty at the correct time.

-Ensure each team member is issued with a radio and ensure the appropriate log is correctly completed for audit.

-Ensure all Security Officers/Controllers are correctly dressed and presentable to the required standard to take up duty.

-Once book on is complete the DOR (daily occurrence record) should be updated with the names of all duty officers and controllers.

-The ability to use a range of communication methods to keep the team informed and motivated.

-Manage the polite and effective processing of all telephone enquiries received at the Security Control Centre [SCC]. Process building fault reports where appropriate, passing and escalating to the correct helpdesk and if necessary requesting the assistance of management in resolving.

-Deploy security team members to escort contract workers. Contract workers may not be allowed access to site without an escort unless they are listed as authorised by the relevant client sponsoring department as being exempt from supervision. In all cases, no contractor may enter a restricted space without the prior clearance from the department owning the space, and then only under escort. All such authorisations should be received in writing.

-Be prepared at all times to deploy staff in the case of an emergency event arising.

-At the start/end of each tour of duty ensure that the correctly prescribed unlock/lockdown procedures are conducted.

-During Corporate Events, liaise with the Security Manager and assigned security team members assigned, to ensure that adequate back up support is provided and that additional closedown checks are carried out after the event has concluded.

-Tour the site periodically (a minimum of 4 periods over a tour of duty) to ensure that all is in order, to check designated areas and to ensure that all site security team members are carrying out their required duties effectively and responsibly. Such tours are to be recorded within the Duty Occurrence Book.

-Ensure all patrolling and duty officers have the necessary equipment required to complete all their duty tasks in a safe and competent manner. Patrolling officers should at all times carry a two-way radio, any required keys for the areas concerned, a notebook and pencil and at night, a working torch.

-To ensure that at all times security team members are deployed effectively to post; operate all the required systems and conducting all required functions.

-To ensure the seamless delivery of exceptional service standards to internal/external customers.

-Ensure that security team members are correctly dressed at all times; that tasks are correctly allocated and performed and that incidents are effectively handled.

-To continuously demand the highest standards of service delivery from security team members by providing full briefings and guidance to them.

-Undertake fair and efficient daily duty rostering of the team.

-Monitor attendance and time-keeping records and take any required remedial action where necessary.

-Investigate and report to the Manager on disciplinary and grievance matters whilst providing leadership and support to sustain good team morale.

-Be committed to Health & Safety and ensure that you are familiar with all Health & Safety policies and procedures. Police and encourage observance with all site security & safety policies, in particular ensuring that the access control, key control, smoking and Health & Safety policies are observed and enforced.

-Perform at the start/end of each tour of duty verification checks of all the Control Room equipment ensuring that all systems are fully operational and where they are not, initiate corrective action.

-Manage and control the response to all incidents in a timely and effective manner by directing the security team members. At all times, the central aim should be to safeguard the assets of the client, ensuring that direction from management is sought where appropriate. In particular activate in part or in whole the client Emergency Response Plan where applicable.

-Ensure that the maintenance of contemporaneous records is conducted from which Daily Situation Reports and handovers can be compiled and made available to management. Maintain other such records as directed management to ensure that a full transparency of events and their handling is possible.

-Manage the retention, issue and receipt of all site keys held or deposited within the Security Control Centre, ensuring that accurate tracking and receipt records are maintained. Conduct at the start and end of each tour of duty an inventory check and report any losses to management as and when they occur.

-Direct and periodically supervise the entry and exit searches conducted by members of the site security team at the designated entry points as a part of the management of effective access control procedures.

-Ensure all patrols are carried out on a timely basis.

-Ensure that all parts of the premises are adequately secured during the shift and that where officers are in place they are fully aware of their duties and responsibilities.

-Ensure where areas are unmanned these must be checked at regular intervals to ensure they are secure as part of the patrol schedule.

-Ensure access key control documentation is accurately maintained.

-Ensure the controllers are monitoring the CCTV system. Responding to any alarms or incidents noted through the CCTV system.

-Respond to and report any lost or stolen property. Complete all the necessary paperwork and pass to the JLL Facilities Manager team as required.

-Carry out any appropriate investigations with regard to security related issues and complete the appropriate incident reports.

-Control and update the emergency evacuation procedures as required.

-Complete an informative and accurate handover/daily brief for the incoming staff.

-Review and manage the exception report weekly in line with guided expectations.

-Carry out any other reasonable request from management or client.
