The Role - Office Administrator

Pinnacle Group is looking for an experienced Office Administrator to deliver a full office support function providing support in a business focused, consistent and timely way.
The role is based at our Chelmsford office. The post holder will support the smooth running of the office including health and safety requirements. Previous experience of working in a similar role would be ideal.

This role is Monday - Friday 9am - 12pm and will be office based.

Key Responsibilities/Duties

• Open and scan post to relevant recipient, maintaining confidentialityas necessary.
• Check the kitchen, tidy up from the night beforeif necessary, empty dishwasher.
• Ensure water dispensersare full, changing water bottles when required.
• Check office attendance via the desk booking system, ensuring everyone has signed in, to make sure the office usage reportsand fire safety reports are correct.
• Print out urgent letters for staff that are not in the office, enveloping, franking and posting.
• Order stationery when required.
• Order supplies of tea, coffee, chocolate, milk etc when required.
• Order supplies of water when required.
• Check the cleaning in the office is of good standard daily, and raise any issues with the Cleaning Manager (cleaning service is provided by an inhouse team)
• Make sure that the live plant care is being carried out properly. Raise any issues with external supplier.
• Liaise with concierge daily to see what activities are happening that day that have been arranged by the landlord (egany contractors attending the office or working in the communal areas). Ensureoffice staff notified of any works.
• Liaise with contractors, engineers etc directly when repairs and maintenance is required (that is our responsibility rather than that of the landlord).
• Daily office check to identify, raise and rectify any H&S issues.
• Ensure H&S noticeboard is up to date.
• Coordinate annual PAT testing.
• Annual Fire Extinguisher Checks.
• Keep first aid supplies up to date.
• Act as first aider and fire marshallfor the office, andensure sufficient numbersof each are in place.
• Conduct annual audit in conjunction with H&S team, andcarry out any actions arising.
• Accept deliveries of Laptops, Phones, Bank cards; inform end user and keep locked until collection.
• Call the outsourced IT helpdesk for support if there are any IT issues in the office.
• Administer door entry cards for office access.
• Organise collection of confidential waste.
• Oversee Safestorestorage units –ensuring destruction dates are adhered to.

Skills

• Excellent office administration experience including IT skills in Word, Excel, Sharepointetc.
• Experience of working in a similar administrative role.
• Ability to provide a common senseapproach to deal with any issues.
• Excellent interpersonal and communication skills.
• Ability to quickly develop credibility and positive working relationships with management / staff.
• Ability to manage and plan own workload.
• A pro-active approach.
