The post holder provides wide-ranging administrative and clerical support to the Pulmonary Hypertension (PH) service. In addition to a broad range of admin and clerical duties, the post holder carries out six-minute walk test for patients.

Good interpersonal, communication and customer care skills are essential, as the post holder has both considerable interaction with patients – some of whom may be anxious and distressed – and a range of internal and external contacts.

The post holder is expected to demonstrate the ability to undertake training, understand basic medical terminology and exhibit a high degree of accuracy, in addition to the ability to show initiative.

These duties do not require direct supervision on a day-to-day basis, therefore, ability to prioritise own workload is essential. The post holder will work as part of a team where good communication skills are a must.

The post holder will be expected to provide cross cover within the administration team when required and necessary for the effective running of the service.

To coordinate and fulfil the clerical and administrative needs of the PH Service in line with Trust Policy and local.

Provide assistance to the multidisciplinary team in conducting six-minute walking tests on the PH clinic outpatients.

To request blood tests and other results from external services, as instructed by the clinical team.

To provide a welcoming and professional service to patients, including reception duties, answering the phone and dealing with

To ensure all relevant patient data is recorded and maintained using Trust IT systems (including EPR and Infoflex) in accordance with Trust This includes general administrative duties such as checking patients in and out of their appointments.

Ensure sufficient supplies of all stationary and patient information leaflets are available in the clinical outpatients’ areas or handed out to patients.

Ensure any loose documentation is scanned and filed appropriately in EPR notes, together with any general filing, printing and photocopying as needed.

Phone patients to provide instructions, reminders and information where necessary and deal with patient queries regarding hospital

Assist Managers in dealing effectively with comments, complaints or incidents that affect staff and users of the department in accordance with complaints, risk management or human resources

Provide reasonable cross-cover for other colleagues to ensure a consistent and effective administration service is maintained.

To book new and follow-up appointments for the service and to cancel and reschedule existing bookings.

Ensure clinics are cached, recording all clinic outcomes accurately. Liaising with relevant staff to confirm activity.

Update all clinic outcomes onto EPR within the time limits that will ensure efficient management.

Ensure the patient understands their care pathway and is aware of appointments.

Liaise/communicate with all departments, both administrative and clinical, to resolve unforeseen problems which may impact on clinical service and/or patient.

Direct patients to other departments for tests/treatments/investigations.

Assist in resolving administrative problems to allow the service to run

Contact patients lost to follow up including new patients to prevent delays in patient pathways.

Contact patients to cancel and reschedule their appointments on EPR when clinics are cancelled by both local and Trust policy. This will involve calling patients and informing relevant staff members of these changes.

Ensure there is a sufficient supply of specialty specific patient information leaflets relating to different pathways and Ensure that contact details on leaflets remain up-to-date.

Notify relevant departments and Medical Records when informed of the death of a patient to ensure future appointments are cancelled to prevent further distress.

Ensure a high standard of data quality is To undertake standard keyboard skills to record patient information, to formulate patient or activity reports/documentation to assist with audits and to use email system for correspondence

Attend mandatory training required for administrative staff as outlined in the Trust Mandatory Training Framework and any training where updating of skills/knowledge.

Be proficient in the use of all electronic systems in relation to patient data and undertake training as required if new technology/electronic systems are introduced, to ensure competencies are maintained and efficiencies of the administrative processes

Participate in yearly staff appraisal, identifying professional development objectives and learning.

To have the confidence to work independently and use organisational skills to time manage own workload.

To have the ability to work together with the team, particularly when patients arrive unexpectedly and medical notes are required at a minutes notice.
