We specialise in Probate, Welfare Benefits, Housing, Civil Litigation, Court of Protection and Wills and Trusts, serving individuals and businesses in the local and wider community.

Job Description:

We are seeking a dedicated and organised individual to join our team as a Receptionist/Legal Assistant. The ideal candidate will be responsible for managing front desk operations, providing administrative support to legal staff, and ensuring smooth functioning of daily office activities. This position requires excellent communication skills, attention to detail, and the ability to handle confidential information with discretion.

This is a full-time position, Monday to Friday 9:00 am to 5:30 pm based in our Maida Vale office.

As this is a client facing role, applicants are expected to maintain a polished and professional appearance.

Responsibilities:

(a) Reception

· Greet clients and visitors in a professional and courteous manner.

· Answer and direct phone calls, taking messages as necessary. Maintaining a record of all enquiries and referrals.

· Schedule appointments and maintain calendars for attorneys and legal staff.

· Manage incoming and outgoing mail, packages, and deliveries.

· Ensuring that the reception area is tidy and welcoming and that the leaflet display area is kept up to date.

· Assist with billing and invoicing processes.

(b) Administrative Support

· Assist with preparation and organisation of legal documents, including filing, scanning, and photocopying.

· Maintain and update filing systems, both electronic and physical.

· Perform general administrative tasks such as data entry, typing, and document formatting.

· Handle confidential and sensitive information with integrity and discretion.

· Manage office supplies inventory and place orders as necessary.

· Provide support for special projects and tasks as assigned by management.

(c) Legal Support

· Assisting attorneys with case preparation, including drafting legal documents, correspondence, and pleadings.

· Conducting legal research and compiling relevant information for cases.

· Assisting with client communication and scheduling appointments.

· Liaising with Courts, government departments and agencies.

Qualifications:

· Bachelor's degree (or equivalent) in Business Administration, Legal Studies, or related field preferred, but not required.

· Previous experience in a receptionist or administrative role, preferably in a legal setting.

· Familiarity with legal terminology and procedures is a plus.

· Proficient in Microsoft Office suite (Word, Excel, Outlook) and other office software.

· Excellent verbal and written communication skills.

· Strong organizational and multitasking abilities.

· Attention to detail and accuracy in work.

· Ability to maintain professionalism and composure in high-pressure situations.

· Reliable and punctual with a positive attitude.

· Ability to work independently as well as part of a team.
