Summary

Position Overview:
The Care Office Administrator will serve as one of the administrative backbone of our care agency, supporting the smooth operation of the office and facilitating the delivery of high-quality care services to clients. This role involves handling various administrative tasks specific to the healthcare and caregiving sector, as well as providing support to care staff and management.

Key Responsibilities:

Client Coordination and Communication:

Act as the primary point of contact for clients and their families, answering inquiries, scheduling appointments, and providing information about services offered.
Maintain accurate client records, including demographic information, care plans, and communication logs.
Coordinate client assessments, care planning meetings, and other appointments with healthcare professionals.

Staff Support and Coordination:

Assist with recruitment and onboarding of care staff, including conducting initial screenings, scheduling interviews, and processing new hire paperwork.
Maintain staff schedules, ensuring adequate coverage for client care and managing shift changes or substitutions as needed.
Provide administrative support to care managers and supervisors, including preparing reports, compiling data, and organizing meetings.

Documentation and Record-Keeping:

Ensure compliance with regulatory requirements by maintaining accurate and up-to-date records of client care, staff credentials, and training certifications.
Prepare and distribute documentation related to care plans, assessments, and service agreements to clients, staff, and external stakeholders.
Assist with billing and invoicing processes, verifying services rendered and ensuring accuracy of client billing records.

Quality Assurance and Compliance:

Assist with quality assurance initiatives, including monitoring and auditing of documentation, conducting client satisfaction surveys, and implementing improvement measures as needed.
Ensure adherence to relevant regulations and standards governing the provision of care services, including safeguarding protocols, data protection regulations, and health and safety requirements.
General Administrative Support:

Manage office correspondence, including incoming mail, email inquiries, and phone calls, and redirecting to the appropriate personnel as needed.
Maintain office supplies inventory, ordering supplies as needed and ensuring availability for day-to-day operations.
Assist with general office tasks such as filing, scanning, photocopying, and organizing paperwork.

Qualifications and Skills:

Previous experience in an administrative role, preferably within the healthcare or social care sector.
Knowledge of relevant legislation and regulations governing the provision of care services, including safeguarding adults, GDPR, and health and safety requirements.
Strong organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
Excellent communication and interpersonal skills, with the ability to interact professionally with clients, staff, and external stakeholders.
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with database management systems.
Empathy and compassion towards clients and an understanding of the importance of person-centered care.

Working Conditions:

This role will typically be performed within our office environment within the regular business hours.
Occasional flexibility may be required to accommodate client and staff scheduling needs or urgent situations.
The Care Office Administrator may occasionally interact with clients or visit care settings to support administrative tasks or client meetings.
