This is a rare opportunity to join our small, friendly Health and Safety team and assist in monitoring the safety management system, including the day-to-day administration of the Trust incident and risk management management system. The role is to provide general administrative support to Health and Safety Services team, including support for meetings, maintaining records, reports, provide and receive information and other routine or ad hoc tasks.
• Receive first line enquiries e.g. from staff via phone calls, emails etc., liaising with colleagues within and outside the team as necessary.
• Demonstrate knowledge of administrative procedures and systems, some of which may be non-routine and involve activities such as: answering queries, progress chasing following meetings etc.
• Signpost staff to appropriate information e.g. health and safety policies, appendices, and other resources.
• Support the team use of health and safety services task tracker and update with own work tasks regularly.
• Arrange, attend and maintain documentation for a range of health and safety meetings for example Health and Safety Steering group and a diverse range of specialist subgroups at intervals between monthly and annually.
• Have an awareness of team diaries and activities such as meetings and training.
• Assist with planning training including booking rooms, updating calendars/diaries and updating the online learning management system.
• Undertake periodic reporting from the electronic incident and risk management system following appropriate training.
• Confidentially deal with sensitive information received within health and safety such as within the electronic incident record system.

This role is predominantly based in a dedicated office shared with team colleagues. Occasional attendance at meetings may be required elsewhere on site, in non-patient facing locations. The requirement to attend training or other activities off site is rare.
The post holder will spend significant time operating display screen equipment, which requires periods of concentration for administrative tasks.
There will be some light physical effort required: lifting and unpacking occasional deliveries.
Exposure to distressing or emotional circumstances is rare, although support resources are available.
