Summary

Key Responsibilities The role will be varied and will adapt over time as the ICB develops. However, the postholder is expected to fulfil the following key functions: - Managing group mailboxes as the first point of contact for the team; coordinating large volumes of communications including answering queries; ensuring that more complex queries are fielded to the relevant team/members and answered appropriately in the timescales and follow up ensuring effective filing system is operative. Develop and maintain effective information systems across the team including the use of the Excel spreadsheets/formulas and databases; capturing reporting data as agreed and proactively maintaining logs and events for the team. Update project documents including liaising with project/programme leads to get up to date information and support delivery of key programmes Develop processes to effectively support the network of the team around mailbox management storage, contacts, stakeholders, and communication databases and ensure emergency contacts and key stakeholder databases are up to date across the Undertake reporting and analysis of information to support delivery Arrange meetings/virtual meetings, training and events, booking venues and ensuring agendas and minutes are in good time, manage the chat box in virtual meetings and take action notes of meetings as required and follow up actions. Support larger events through supporting preparation of materials, venue liaison, equipment and access to dietary needs of attendees and helping at events on the day as requested Take general telephone calls for the team, if they are absent or unavailable and forward to appropriate team member. Support the Population Health senior leadership team in working with key stakeholders and partners, including liaising with Director-level and senior professionals Support population health projects and events across the system and/or place-based partnership working with a broad range, partners, and stakeholders. Manage relevant project management systems and queries and ensure these are updated and relevant and refreshed in liaison with population health project teams and wider stakeholders and all contact lists are kept updated. Support policy and plans refresh and updates for Population Health and health Support training and development programmes for population health and health Main duties and responsibilities Project management: Undertake information/project analysis Participate in relevant internal and external working groups/projects to provide information and advice and support and to maintain data collection systems for its effective use by the team Analyse, source, and report of any data requirements and monitor the processing of data Provide information to project leads on projects and collate and analyse information as required Planning & Organisation: Support implementation of projects through timely and relevant information analysis and administrative support, in accordance with the agreed priorities of the Population Health team Plan and organise meetings/events and assist in the diary management requirements of individuals to connect with the portfolio of work. Research and Development: Carry out internet based and publication research as required To analyse new governance and assurance updates and help analyse the implications to organisation and the effect on population health and health inequalities projects Continuous improvement and service development: Propose changes to projects, continually reviewing and improving approaches and making recommendations for more effective delivery Contribute to the review and development of existing project information management systems and contribute to the development of an integrated approach to project management Contribute to the review and development of approaches to address health inequalities and prevention programmes The main duties and responsibilities described above are not exhaustive and the post holder expected to take on other responsibilities or specific tasks as required as requested Further, over time it is likely the remit and requirements of the role will evolve, and the post holder will be required to adjust their working approach and style to accommodate this with the full support of line managers.
