The Role – Assistant Contract Manager
Pinnacle Group are looking to an Assistant Contract Manager (ACM) to support the management of all Hard & Soft Services related operations within a North London School PFI Contract. The ACM ensure the Contract is compliant with the relevant legislation and to be operating with the contractual obligations under the PFI Contract. The ACM will need to possess excellent management skills and be able to communicate at all levels inspiring change in processes, procedures and working practices across the contract ensuring customer focus.
Duties/Key Responsibilities
• Support the Senior Contract Manager to lead, motivate and support a team of FM staff and sub-contractors in the day-to-day FM service delivery.
• Assist in achieving all the KPI’s as detailed within the contract project agreements for all FM service delivery ensuring that payment penalties are at an absolute minimum.
• To ensure the NLS Contract is compliant with the relevant legislation and to be operating with the contractual obligations under the PFI Contract.
• To ensure full compliance with Health & Safety legislation within the Contract specification.
• To ensure all internal and external audits across the Contract are fully prepared for and all actions are monitored and closed within the given timeframe.
• Manage project specific risks including the preparation, implementation, monitoring, and review of Business Continuity Plans.
• In conjunction with the Technical Lead to manage, monitor, review and improve compliance to the Contract, either directly or through contractors.
• Be proactive in identifying cost-saving and profit-making opportunities within the bounds of the Contract specification.
• Review PPM and Reactive jobs on Helpdesk
• Track RBM Requirements
• Asset tagging and PPM processing
• Continued Development of QFM as an Asset Management tool
• Assist and support the Technical Lead and Senior Contract Manager ensuring best practices within the Hard and Soft Services are shared between functions, sites, and contracts.
• Build professional relationships with key external stakeholders to ensure customer satisfaction, whilst also meeting the organisation’s strategic and financial aims.
• To manage the training matrix and ensure compliance and development through training across the NLS Contract.
• To carry out and ensure in-house training is delivered through Toolbox Talks on a regular basis.
• Program, arrange and delegate PPM duties within the remit of the caretaking team. Monitor satisfactory completion and report back.
• Assist the Senior Contract Manager in the recruitment, induction, development, and management of operational staff, in line with the Company and Statutory procedures, including safeguarding children’s requirements.
Skills Required
• Prior Facilities Management experience within a challenging environment is essential, preferably within the Public Sector environment.
• Management of FM direct/outsourced service delivery
• Excellent organisation skills and attention to detail is required
• Leadership skills and the ability to motivate a team
• Commitment to Customer Service
• Outstanding written and oral communication is required
