An exciting opportunity has arisen for a Band 2 Admin Support Clerk to work as part of the Surgery, Women’s and Children’s secretarial group providing general administrative services to the Directorate, in support of the work of consultants and other clinical staff in providing a high standard of patient care. As part of an administrative and secretarial team you will work towards Department, Directorate and Trust performance and quality targets.

The post holder will have significant previous administrative experience as well as high quality communication skills – verbal, face to face and written as well as a professional telephone manner.

The following is not an exhaustive list but provides an indication of the core tasks:
• Responsible for managing the Straight to Test Tracker. Escalating to Operational Managers if patient’s 2ww appointments aren’t booked or if they are booked outside of target
• Delivering the 2ww Referral paperwork for Triage to the consultants on a daily basis
• Ensuring the Choose and Book patient’s referrals are received by the consultants to Triage on a regular basis
• Providing support to secretarial group and Management to ensure Consultant Reviews are actioned in a timely manner.
• Type on an adhoc basis clinic letters, general letters, discharges and other patient related documentation. Ensuring that all work leaving the department is of the highest quality in terms of presentation and layout, and is despatched within agreed timescales

• File tests and loose histories as appropriate.
• Retrieve, log and return case notes/medical records, keeping these in accordance with Trust policy.
• Communicate efficiently and professionally with colleagues, clinicians, other Trust personnel, and external agencies at all levels, promoting a positive image of the Trust at all times.
• Maintain a working knowledge of hospital systems so that enquiries can be dealt with efficiently and appropriately.
• Participate in team meetings, audits and reviews as instructed by Team Leader in order to generate ideas for service improvement.
• Use own initiative when dealing with enquiries, ensuring all local procedures and Trust procedures and policies are adhered to, and enquiries are dealt with promptly and courteously. Be responsible for actions and outcomes of enquiries.
• Responsible for working within safe systems of work, especially in terms of handling patient case notes.
• Comply with all statutory regulations, procedures, Trust standing orders, standing financial instructions and Trust policies in general.
