Summary


Undertake a range of routine administrative and secretarial tasks to
provide support to the Matron in a busy day unit environment.


To be responsible for arranging meetings, taking notes, support in the use of Health-roster and the recruitment electronic system.

1. Provide efficient administrative and secretarial support to the Matron and unit team.


2. Type letters and reports as required in a timely fashion


3. Maintain and update electronic diaries


4. To take and relay messages, by phone or in person, and deal with routine queries.


5. Deal promptly with incoming and outgoing mail.


6. Enter data accurately on department systems.


7. Assist with servicing of meetings including room booking, preparation of supporting papers, arranging catering and taking notes.


8. Assist with monitoring and ordering of stationery.


9. Assist in the management of complaint responses.


10. Undertake general office duties e.g. photocopying/filing/faxing/sending routine emails.


11. Record mandatory training / absence / study leave/ appraisals etc. for team.


12. Process travel and other expenses forms.


13. Assist with other Trust related administration duties relevant to the post, as assigned by the Matron.


14. Liaise with Human Recourses: to assist with absence/disciplinary issues/concerns whilst maintaining staff records.
