Summary


Managing and overseeing the administrative component of the Acute Referral Centre's database, ie. monitoring and updating operational data quality for bed management, crisis line and crisis assessment team. Great organisational skills and the ability to work autonomously and be able to prioritise a compelling and varied workload is desired. The successful candidate will also be working closely with the General manager and CSLs to ensure new initiatives are actioned swiftly without disruption to the running of the service.

This post has several components:

- To provide an excellent standard of customer care and administration support being a first
point of contact to patient, family/carers and other stakeholders.
- To collate situational reports (sit reps) and data received through bed calls multiple times a
day, which feeds into the Trust’s OPEL (Operational Pressures Escalation Levels) score.
- To carry out essential audits on behalf of the team, including health, safety and fire audits.
- To create and present reports needed for the team including mandatory training reports for staff, sickness reports
- To maintain clear and efficient communication with key stakeholders including NHSE,
especially for bed reporting and bed capacity/demand. This includes communication with
senior members of staff.
- To efficiently and cohesively complete reports including CAT reports, crisis line reports.
- To manage the Healthroster and the booking/approval of shifts on NHSP.
In this role you will be working Monday to Friday in the time frames from 9.00am to 5.00pm, giving you the very best of good work life balance.

community in Croydon, Lambeth, Lewisham and Southwark; as well as substance misuse services for
residents of Bexley, Bromley and Greenwich.

Administration:
• To ensure that correspondence and documentation produced is both timely and of a high standard. To have an extensive and detailed knowledge of secretarial and office practice, including practical experience and understanding of medical terminology, as well as the clinical services offered.
• To provide comprehensive administrative and secretarial support to the General Manager. To assist people in a helpful, diplomatic and tactful manner and to screen and re-route calls as appropriate, taking clear, concise messages and dealing with enquiries where appropriate.
• To be able to plan, organise, set and independently review time and workload priorities and to have the ability to exercise judgement and to work autonomously. To be able to work to tight deadlines and the ability to manage multiple tasks within a working day. To have the ability to administer an efficient bring-forward system. To develop and maintain an efficient electronic filing and information retrieval system.
• To be experienced in problem-solving and be able to demonstrate personal initiative and the capacity to deal with unusual and/or urgent circumstances that may occur in this setting.
• The ability to maintain discretion, confidentiality and sensitivity at all times in relation to the nature of the work carried out within the ARC office.
• To be held as an exemplar of the standards within the service by acting as a role model for other work colleagues.



Recruitment:
• To support the General Manager and CSL in recruitment and to act as the interface for the service with Human Resources, ensuring the recruitment process is efficient and timely.
• Once a start date is agreed to liaise with the relevant line manager for the new staff member to ensure an induction programme is in place.
• In addition, to have responsibility for organising and facilitating SLAM Contracts and invoicing for private sector bed providers.
Essential Criteria: Qualifications• Degree or relevant Professional Qualification (eg. DMS)
• Secretarial Qualifications (eg. Pitman, RSA) or Equivalent Experience
