Summary

As an Administrative Assistant Apprentice at our Care Agency, you will play a key role in supporting the administrative functions that contribute to the effective operation and expansion of our services. This apprenticeship focuses on enhancing your organisational and communication skills while actively contributing to reaching and serving more clients.
Responsibilities:
Client Database Management:
● Assist in maintaining and updating the client database, ensuring accurate and comprehensive records of current and potential clients.
● Use the database to generate reports and assist in targeted outreach efforts.
Appointment Scheduling:
● Coordinate appointments and consultations between clients and care professionals.
● Ensure efficient scheduling to maximise the agency's capacity to serve clients.
Client Communication:
● Serve as a point of contact for client inquiries, providing information about the agency's services, policies, and procedures.
● Communicate with clients to collect feedback and address any administrative concerns.
Documentation and Record Keeping:
● Organise and maintain client files, ensuring that all documentation is complete and up-to-date.
● Assist in the preparation of necessary paperwork for client intake and ongoing services.
Billing and Invoicing Support:
● Collaborate with the finance team to assist in the billing and invoicing process for client services.
● Address client billing inquiries and provide support in resolving any issues.
Marketing Material Distribution:
● Assist in the distribution of marketing materials to potential clients, healthcare providers, and community partners.
● Ensure that promotional materials are strategically placed to maximise visibility.
Client Outreach and Follow-Up:
● Support outreach initiatives to connect with potential clients and introduce them to the agency's services.
● Follow up with clients to gather feedback and assess satisfaction with the agency's services.
Calendar Management:
● Manage the calendars of key team members, scheduling meetings and appointments related to client interactions.
● Coordinate team schedules to optimise client service availability.

Working week: 37 Hours per week.

Apprenticeship standard: Business Administrator Level 3

About the employer: We are a specialist domiciliary care provider and a temporary employment agency. We specialise in supply of variety of healthcare professionals to a wider range of clients, including hospitals and care homes, as well as domiciliary care services to private clients and those referred by social services.
