Summary

Job description:

To provide comprehensive HR and administrative support to the People Manager, ensuring all employee lifecycle processes are delivered efficiently and in line with statutory requirements.

Key Responsibilities

HR Administration & Employee Lifecycle

Provide administrative support across the full employee lifecycle:
Recruitment, onboarding, contract changes, and leavers
Prepare contracts, offer letters, and onboarding documentation
Maintain accurate employee records on HR systems and personnel files
Support payroll processes (e.g. data changes, absence reporting)
Safeguarding & Compliance

Maintain and oversee the Single Central Record (SCR) ensuring:
All pre-employment checks are completed and recorded (e.g. DBS, right to work, references, qualifications)
Records are accurate, up-to-date, and compliant with statutory guidance (e.g. Keeping Children Safe in Education)
Maintain the Safeguarding Concerns Log, ensuring:
All concerns are logged promptly, accurately, and confidentially
Appropriate escalation to the Designated Safeguarding Lead (DSL)
Records are audit-ready and securely stored
Support internal and external safeguarding audits and inspections (e.g. Ofsted)
Monitor compliance deadlines (e.g. DBS renewals, training updates)
Recruitment & Vetting

Coordinate safer recruitment processes in line with safeguarding requirements
Carry out pre-employment checks:
DBS checks
References
Right to work verification
Ensure all vetting documentation is correctly recorded on the SCR
Data Management & Reporting

Maintain HR databases and trackers (e.g. absence, training, compliance logs)
Produce regular reports for:
HR Manager
Safeguarding Lead
Senior Leadership Team
Ensure data accuracy and GDPR compliance
Stakeholder Support

Act as a first point of contact for HR queries from staff and managers
Support managers with HR processes and policies
Liaise with safeguarding, compliance, and quality teams
Training & Compliance Tracking

Monitor and record mandatory training (e.g. safeguarding, Prevent, GDPR)
Ensure staff records are up to date and compliant
Chase outstanding training and documentation
Person Specification

Essential Skills & Experience

Previous experience in an HR or administrative role
Strong attention to detail and accuracy
Experience managing confidential and sensitive information
Good working knowledge of:
Microsoft Office (especially Excel)
HR systems / databases
Understanding of safeguarding responsibilities in education (or willingness to learn)


Desirable

Experience working in:
FE College, school, or training provider
Knowledge of:
Single Central Record (SCR) requirements
Safer recruitment practices
Ofsted or audit environments
